Administrative Coordinator of the Office of Advising & Academic Success

The Administrative Coordinator of the Office of Advising & Academic Success coordinates the daily operations related to the work of the Advising & Academic Success office and assists in organizing the logistics related to advising, programming, office scheduling, faculty advising materials, including the faculty advisor and student advising portals, and the Faculty Advising Handbook on our Canvas site. Additionally, the Administrative Coordinator for Advising and Academic Success has primary responsibility for the peer advising and tutoring operations of the College, including peer tutoring and the TutorMe 24/7 on demand tutoring service. Reporting to the Director of Advising & Academic Success, the Coordinator responds to student, faculty, staff, and family questions and concerns related to advising, scheduling, develops success programming and makes referrals to other staff members in the office for additional follow up and intervention, coordinates materials for course selection and orientation sessions, and oversees the logistical operations of the office.

Essential Functions:
  1. Operational Management:
    • Serves as the first line of contact for students, families, and visitors to the Office of Advising & Academic Success;
    • Serves as Office Manager, ensuring the daily smooth running of the office, including processing and resolving incoming office email messages and phone calls, scheduling appointments, and mail distribution;
    • Prepares and distributes materials for marketing, distribution, academic advisors, etc., related to New Student and Parent Orientations, Welcome Week, Convocation, new advisees, wish list week, course registration, and academic standing, including Canva and Constant Contact emails;
    • Supervises student workers including office workers, peer advisors, and peer tutors and all related processes
    • Maintains communication with offices across campus to assist students, and as students enter and leave the College, as well as, as needed to ensure smooth office operations;
    • Assists with room reservations and other logistics related to Office of Advising & Academic Success;
    • Monitors the budget for the Office of Advising and Academic Success and assists staff members in the office with requisitions;
    • Orders supplies for the office;
    • Maintains social media posts for the Office of Advising & Academic Success.
  2. Advising and Academic Success Programming
    • Assists in the preparation of materials for New Advisor Trainings;
    • Assists in the preparation of materials and logistics of Academic Success programming;
    • Prepares materials for the Curry Launch course visits;
    • Coordinates rooms and refreshments for programs facilitated by the Office of Advising & Academic Success.
  3. Direct Service to Students and Families
    • Responds to routine student and family questions regarding course registration, add/drop procedures, section; availability, grade/pass/fail, course withdrawals and other issues related to advising, academic success, registration, and college policies;
    • Notifies students of advising assignments;
    • Assists students with changes of majors or advisors;
    • Refers students and families to other staff in the office for additional follow up and intervention;
    • Assists students with scheduling appointments with members of the Office of Advising & Academic Success.
  4. Peer Advising Program
    • Hires, trains, and evaluates the Peer Advising students;
    • Works with the Director and Associate Director of Advising & Academic Success to develop the schedule and events for the peer advising program.
  5. Tutoring Program
    • Serves as the primary contact for TutorMe and the Tutor Matching Service platforms used for peer and professional tutoring at the College;
    • Works with faculty to recruit students to serve as tutors for each academic year with particular attention on high need courses and courses with high D/F/W rates;
    • Using mid-term and final grade reports, identify courses each semester where students are at risk and develop communications to students and faculty on the tutors available;
    • Train all peer tutors on the platform and expectations for tutoring;
    • Check in with peer tutors and those receiving tutoring to assess effectiveness of the sessions;
    • Prepare reports at the end of the semester of tutoring use and needs based on peer tutoring and the TutorMe platforms;
    • Verify tutoring logs and timecards for peer tutors;
    • Ensure peer tutors are set up with HR and payroll for their positions;
    • Publicize the peer tutoring and TutorMe programs to college constituencies.
  6. New Student Orientation
    • Updates and prepares all materials for faculty training sessions, including updating portal resources and sending certificates of attendance to faculty advisors;
    • Coordinates room reservations, equipment needs, including IT, and food for advising during orientation, Advising Council meetings, and other meetings to support the Office of Advising & Academic Success as needed;
    • Obtains, prints, organizes, and files all materials related to math and writing assessments;
    • Oversees organization of all advising materials related to orientation - advising materials, master lists of students and advisors & PINs, room assignments, signage, and supplies;
    • Oversees logistical operations following each orientation --- completed student registrations, timesheet submission; by faculty, data entry, resolving residual concerns and issues, and confirming advisors have entered Notes into Advising Profile.
  7. Student Records
    • Prepares advising materials for all new students - both first time first-year and transfers;
    • Updates and prepares advising materials for readmits, leave of absence students, PAL students moving on to new advisors, and students dismissed from Nursing;
    • Daily updating of reports and databases to reflect most recent student and advisor information;
    • Enters student schedules for those unable to attend an orientation session and for those wanting changes during winter and summer break.

Salary Range:

$22.00-$25.00 per hour

Job Requirements:
Minimum Qualifications:
  • Bachelor's degree;
  • 2-3 years of experience in an Academic Advising, Student Affairs or Academic Support environment including student advising, student affairs/activities, program administration and assessment; or related experience;
  • At least 2 years of supervisory experience.

Preferred Qualifications:
  • Overseeing Tutoring / Student Support Programming;
  • Overseeing Peer Advisor/Mentor program;
  • Banner experience.
  • Knowledge of best practices and current trends in Academic Advising & Student Success;
