Job Description

The Practice Coordinator II is responsible for the duties that include supervising other assigned personnel within an office setting. Supervision includes orientation, development and evaluation of personnel, and monitoring the provision of quality services. This position may supervise up to three providers within one location. This position will resolve issues that occur within the department and ensure an efficient patient flow. This position will be the primary point of contact for practice operational function, and he/she may be required to perform any front office role, as necessary to support the practice operations. This position serves as the facilitator for the practice including but not limited to ensuring patient satisfaction, assisting with the practice budget, assisting with staff schedules, coordinating patient flow, and assisting with coding issues. The Practice Coordinator II ensures the marketing programs are properly executed and maintained. This position oversees incoming and outgoing correspondence or communication for the department. This position assists the process for submitting and maintaining all regulatory documentation, medical documentation, and billing documentation for the department. This person will work closely with the providers in the department to ensure every procedure performed has a charge and is entered in a timely manner. This person will assist with internal coding and chart audits.

Responsibilities

  • Oversees the day to day activities of the medical practice.
  • Coordinates communication between team members and physicians or clinical associates to ensure the appropriateness of care and outcome planning.
  • Ensures that providers and staff follow all company policies, procedures and standards to keep providers and staff in compliance with external regulatory authorities and ensure that clinical associate documentation meets internal standards.
  • Ensures that policies and procedures are followed to balance cash drawers on a daily basis, to balance petty cash on a daily basis and to make daily bank deposits.
  • Supervise team members which include orientation, development and evaluation of personnel, and monitoring the provision of delivering quality services. Participates in the recruiting, interviewing and selecting of team members following policies, guidelines and applicable laws. Evaluates their performance relative to job goals and requirements. Provides coaching to staff, recommends in-service education programs, and ensures adherence to internal policies and standards.
  • Acts as the main point of contact for the office, assists with the clinic budget, staff scheduling, and ensures the marketing programs are properly executed and maintained.
  • Responsible for understanding and coordinating the daily operations of the practice and resolving any operational issues.
  • Orders office supplies and keeps department stocked with necessary supplies.
  • Performs other duties including but not limited to: * Resolves billing questions and concerns. * Assists patients with financial paperwork. * Sorts and distributes incoming and outgoing correspondence. * Maintains medical documentation in an appropriate manner. * Maintains billing documentation in an appropriate manner. * Ensures every charge is captured and entered in a timely manner. * Ensures every procedure is appropriately coded (CPT & ICD-10) * Cooperates fully during chart and coding audits. * Maintains regulatory documentation. * Provides feedback to leadership regarding team member performance.
  • Effectively communicates departmental, organization, and industry information to staff.


Qualifications

Minimum Education

  • High School Diploma or Equivalent Required

Minimum Work Experience

  • 2 years medical office or healthcare related experience Required

Required Skills, Knowledge and Abilities

  • Knowledge of health plans and managed care plans.
  • Knowledge of computer-based data management programs.
  • Superior oral and written communications skills.
  • Knowledge and understanding of medical coding guidelines
  • Skill in assigning CPT, ICD-10 and HCPCS codes
  • Strong interpersonal and organizational skills
