Job Summary

Provides leadership in managing the University Graduate School (UGS) Fellowship Programs and the graduate student orientation. Current UGS Fellowship programs include the Presidential Fellowship, the Latin American and Caribbean Graduate Fellowship, the Undergraduate to Graduate Program (UtGP), Provost Fellowships, Housing Fellowships, Veterans Fellowship, Dissertation Year Fellowship, Dissertation Acquisition Fellowship, the Graduate Student Publishing Fund and others as assigned. Works closely with the Assistant Dean and the Associate Dean on planning and coordinating UGS special events such as Graduate Student Appreciation Week. Analyzes program(s) success and makes recommendations to improve the effectiveness of the program(s).

  • Responsible for the implementation and coordination of University Graduate School (UGS) Fellowships.
  • Plans and coordinates orientation events. Responsible for maintaining the UGS Orientation online platform and communicating with the vendor.
  • Assists with UGS Professional Development events as needed.
  • Collaborates with Assistant Dean and Associate Dean with writing and coordinating training grant proposal applications. Assist with grant re- funding activities, timely submission of progress reports, and final close-out reports to appropriate funding agencies.
  • Oversees the collaborations with the Center for Excellence in Writing, including the Graduate Writing Mentorship Program and Dissertation Retreat.
  • Manages the implementation and coordination of the new Writing Fellows Program.
  • Serves as the Point of Contact for third-party agencies administering Fulbright Fellowships and other international Fellowships.
  • Collaborates with Assistant and Associate Deans to establish and implement a faculty training program for mentoring graduate students.
  • Analyzes the effectiveness and establishes future direction by creating policies and procedures.
  • Serves as Liaison between students, faculty and Program's Directors.
  • Serves as the liaison for Graduate Advisory Board (GAB) and Graduate and Professional Student Committee (GPSC)
  • Prepares stipend and tuition payments for Graduate Student Fellows on a semester basis.
  • Oversees the event logistics for University Graduate School (UGS) events and that includes Symposiums, workshops, Graduate Student Appreciation Week, Three Minute Thesis Competition, etc. Creates flyers and marketing materials for recruitment purposes. Maintains and updates the program's website.
  • Serves as Liaison between students, faculty and Program's Directors.
  • Assures grant-funded projects comply with FIU/funding agency policies and procedures. Responsible for assisting in the interpretation and implementation of policies and procedures for federal, State of Florida and FIU, as they apply to the areas of responsibility within the programs managed by the Unit. May recommend changes of policy and procedures to the Director as necessary.
  • Assists in the drafting and submission of the yearly quarterly/annual reports to the BOT, BOG and FIU Assessment.
  • Maintains confidentiality of student, fellow, faculty, personal records and other related materials as required.
  • Manages and supervises staff and personnel.
  • Organizes and facilitates meetings to ensure that the goals and objectives of the unit or program are communicated and achieved.
  • Provides leadership in the Fellowship Recruitment and Bridge to the Doctorate fellows programs. Works with Director in monitoring and tracking of all fellows.
  • Manages fellowships by providing administrative direction to the day-to-day operations of the program. Including but not limited to: coordination, monitoring and tracking of fellows.
  • Creates flyers and marketing materials for recruitment purposes.
Minimum Qualifications

Bachelor's degree and six (6) years of appropriate experience, or Master's degree and four (4) years of experience.
