Job Description

GENERAL PURPOSE
The Clerk Typist 2 (CYF) - Legal position performs a variety of moderately complex typing and clerical activities for the legal unit. Work requires the use of typing skills and the processing of a variety of documents, as well as all clerical aspects of a complicated work process made up of unpredictable and random input. This position is primarily assigned to the legal unit and will also serve as back-up to the clerical unit during absences.

SUPERVISION RECEIVED
This position reports directly to the Managing Attorney.

SUPERVISION EXERCISED
This position is not responsible for the supervision of other employees.

ESSENTIAL DUTIES OF THE POSITION
Serves as primary back-up to the Legal Assistant II and attends Juvenile Court proceedings and prepares the permanency plan/interim Court Order in the courtroom. This individual then copies and distributes the interim court order to all parties immediately following the conclusion of the juvenile court proceedings.

Types: Social histories or summaries for Juvenile Court Hearings, letters to Judges, Juvenile Court, Orphans Court, clients, etc., and other agencies according to agency format; copying, mailing as well as faxing all court materials (to attorneys) for Juvenile Court Hearings. Assists agency legal staff regarding clerical matters. Serves as primary back-up to the Legal Assistant II and attends Juvenile Court proceedings and prepares the permanency plan/interim Court Order in the courtroom. Creates and maintains Legal Unit file, both computer and physical file. Runs scheduled tickler system.

Types legal pleadings as instructed by Agency Solicitors or Legal Assistant. Processes and types subpoenas. Processes counsel assignments.

Proofreads typed materials to ensure that information is grammatically correct, complete, consistent and adheres to agency rules and regulations.

Substitutes for other members of the clerical unit. This includes substituting for agency receptionist. This involves taking messages, answering inquiries for non-technical information and directing visitors to appropriate staff members or to other County offices.

Responsible for filling in for clerical staff who are out of office (sick leave, vacation, etc) - duties may include (by not limited to) distribution of interoffice mail, operating postage meter, and entering child abuse records in computer and generating and recording necessary forms and letters.

Maintains postage machine.

Attends training classes as necessary to remain current about office procedures, and office equipment and software for office equipment.

Maintains confidentiality in performance of duties in dealing with information about clients, in accordance with current regulations and policies.

Performs related work as required.

REQUIRED MINIMUM QUALIFICATIONS

EDUCATION & EXPERIENCE - Completion of a high school, or general equivalency diploma; AND

Six months as a Clerk Typist 1 and educational development to the level of eighth grade; OR completion of a high school business curriculum which included at least one typing course; OR any combination of equivalent experience and training; AND

Prior experience with legal and/or court documents and procedures is preferred.

KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of English grammar, spelling, and punctuation at a level equivalent to that used in writing or adjusting written materials normally consisting of simple sentence structures, one and two syllable words, and punctuation marks for word, number, and sentence separation.

Knowledge of standard office procedures, practices, conduct, and actions necessary in maintaining harmonious working relationships.

Knowledge of the techniques applied in using the English dictionary.

Knowledge of the types, organization, and use of standard office files, logs, forms, and letter formats.

Knowledge of intermediate arithmetic which involves calculations similar to adding and subtracting common fractions, and multiplying and dividing by two or more digits, whole numbers, or decimal multipliers and divisors.

Skill in using a typewriter console at a minimum speed rate of 40 words per minute.

Ability to understand and follow oral and written instructions that explain multifaceted procedures.

Ability to perform within processing procedures that involve an understanding of multiple aspects and application of varied standards.

Ability to proofread information for conformance with a prescribed pattern or form, to assure the adherence to clerical office methods, or for compliance with specific administrative or procedural rules.

Ability to transfer information and present it in a modified form according to rules and procedures.

Ability to collect and organize material for reports by determining what available information should be included and presenting the information in a prescribed, organized format.

Ability to compose straightforward informational correspondence such as transmittals or acknowledgements in reply to requests or questions on the work process or related information.

Ability to perform basic arithmetic calculations such as the adding and subtracting of whole numbers and decimals; and multiplying and dividing by one digit whole number or decimal multipliers and divisors.

Ability to instruct and advise clerical employees on the methods and procedures used in the work area.

Ability to organize work and develop effective work methods in an area that involves variable phases of different techniques and procedures.

Ability to make duty oriented decisions based on well-defined standards and precedents.

Ability to operate office and mail processing machines such as the photocopier, and postage meter; and instruct others on their use.

Ability to read, write, speak, understand and communicate in English to perform the duties of this position.

TOOLS AND EQUIPMENT
Telephone, personal computer (including word processing and spreadsheet software), calculator, writing implements, fax machine, copy machine, and paper shredder.

PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to walk, sit, talk or hear.

The employee must occasionally lift and/or move up to twenty-five (25) pounds.
