This position is located in Newport News, VA, and is a full time, non-exempt position. This position will report to the General Manager / Program Manager, BSEt.

Job Description

This position provides project and administrative support for TDXi's Technical Services Headquarters Office. The statements below are intended to describe the general nature and level of work being performed by individuals assigned to this position. They include but are not limited to the following:

Primary Responsibilities



    • Prepare billing support and tracking for a Cost-Plus Fixed Fee contract
    • Prepare billing support and tracking for a Cost Reimbursable CLINs
    • Coordination of daily, weekly, and monthly reports for contract/project
    • Issue and close Purchase Orders as required
    • Prepare, code, submit, and track travel expense reimbursement and per diem requests in accordance with JTR requirements.
    • Prepare, code, submit, and track contract related parts orders and billing
    • Assist with contract and project proposals including pricing
    • Review, code, submit and track subcontractor billings
    • Backup to review timecards as a second level approver and make sure they are submitted correctly and on time
    • Track Special Projects budget vs actual costs
    • Establish and maintain good working relationships with vendors
    • Support staff in assigned project-based work
    • Perform general clerical duties to include but not limited to photocopying, faxing, mailing, filing, word processing, and spreadsheet preparation
    • Assist with estimating costs and procuring materials for various projects if needed
    • Create and modify documents using Microsoft Office programs
    • Answer telephones and transfer or take messages for other staff members
    • Must be able to work independently and on small team with strong communication skills
    • Comply with quality and safety programs and accomplish other duties as assigned



      EDUCATION AND EXPERIENCE REQUIREMENTS



      • Associates or higher OR 5 years relevant experience
      • One to three years of experience in a clerical support, secretarial, or administrative assistant capacity, preferably within government contracting environment highly desired
      • Accounts Payable and Job Costing experience required
      • Familiarity with the JTR required
      • Experience in billing Cost Plus Fixed Fee (CPFF) and Cost Reimbursable (CR) contract lines (CLINs) required
      • Knowledge and experience with MS Office Suite (Word, Excel & Outlook)

        • Extensive knowledge of Excel is a must


      • Government accounting experience highly desired
      • Experience with proposal development, highly beneficial
      • Familiarity with WAWF is beneficial
      • Previous military experience, in professional or civilian capacity is beneficial
      • Ability to effectively work with a remote team
      • Effective organization and communication skills
      • Reliability, accountability, and ability to meet deadlines
      • Must present professional appearance, be energetic, and take pride in work


      • Ability to manage stress and prioritize in a fast-paced environment


      • Effective organizational and communication skills, with emphasis on written communication (grammar, spelling, etc.) mandatory


      Additional Requirements



      • Hours will be 9:30 to 6:00 (EDT) to accommodate team in Alaska
      • Must be a US citizen
      • Must pass background checks


      • Ability to speak, read, and write English


      • Must possess valid driver's license
