Working Schedule:

  • In-person front desk work; this is not a remote position.

  • Part-time position; days and hours may vary to support department needs.
  • Generally Monday - Friday, 8:00 am - 5:00 pm.
    Schedules may vary with hours increasing during peak periods up to 40 hours per week, up to 1039 hours in a 12 month period.

Required QUALIFICATIONS


Required Education:
High school graduation or equivalent is required.
Required Experience:
Two (2) years of general office experience performing the full range of office support duties, including experience using various software programs such as Microsoft Office, Word, Excel, and Google Workspace.

Preferred QUALIFICATIONS


Preferred Education
Completion of college-level courses in office administration, graphic design, or computer information technology.
Preferred Experience

  • Bilingual English-Spanish Speaker
  • Extensive experience with Microsoft Word and Excel and/or Google Workspace applications and web software is strongly preferred.
  • Experience with graphic design of fliers and social media posts.
  • Experience working with culturally diverse clients or non-native speakers of English.
  • Experience working with database systems.
  • Experience with community college students or social service agencies.

Position Purpose:
This position offers office and administrative support for the Career Pathways Department. Main duties will include front desk reception, student computer and book lending, tracking student applications in spreadsheets, as well as creating fliers and schedules. The position will also assist with Career Pathways events and outreach. Our department is committed to providing support for underrepresented students seeking Career Technical credentials.
Essential Functions:
Administrative Support

  • Perform the full range of office support duties including data entry, phone and front desk reception and check-in, departmental communications, and processing forms.
  • Create and update spreadsheets, slides, infographics, and other materials using Google Workspace, Canva, and other software tools.
  • Track students using spreadsheets and/or other tools.
  • Maintain email lists, such as our student lists, and employer and agency collaboration lists.
  • Maintain logs for student computers and textbooks in the check-out system.
  • Help in maintenance of Career Pathways webpages and marketing materials such as forms, fliers, Career Pathways certificate lists, and other documents.


Student Contacts

  • Create a safe and welcoming environment for students from highly diverse backgrounds including students of various nationalities, socioeconomic statuses, unhoused students, and students with high barriers to education.
  • Respond to inquiries and assist in contacting potential students via phone and email.
  • Learn college processes to answer questions about student registration, student account payment, or other common transactions.
  • Learn basic student resources on campus and off-campus.
  • Track applications and forms for various Career Pathways programs. Contact students as needed to follow-up.
  • Assist in events or providing orientations to PASS Lane and other Career Pathways programs.

Documentation, Student Data, and Tracking

  • Enter student data and register students for non-credit classes.
  • Use Google Docs to update student lists and track student participation.
  • Verify eligibility and add services in iMatch for the STEP at Lane program.
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students.
  • Other duties as assigned.

Work in a Team Environment

  • Collaborate and communicate effectively with team members, other campus staff and workforce partners.
  • Attend department and other meetings as needed.
  • Assist with student workers; provide guidance as needed.

Supervision Statement:
Reports to and works under the general supervision of a department dean. A department project coordinator will provide daily supervision. Work is performed independently according to College and department policies. The supervisor is available to consult on problems and policy decisions. Work is reviewed for quantity and quality provided to the department.
Physical Demands/Working Environment:
This position works indoors and is exposed to usual office working conditions that includes office noises and interruptions, such as printers, telephones, and visitors. This position requires that an employee be able to sit or stand for extended periods of time; perform cognitive and psychometric work for more than six (6) hours a day. Work may require transporting materials up to twenty-five (25) pounds. Work safely.
Knowledge Skills and Abilities:
Knowledge:

  • High level of proficiency with Google Sheets and Microsoft Office, and knowledge of, or the ability to quickly learn Canva and other similar tools.
  • Knowledge of office procedures, with emphasis on workflow, document production and administrative procedures.
  • Knowledge of and ability to operate office equipment including computers, copiers and printers.
  • Knowledge of and ability to use a variety of social media platforms.
