Center for Excellence in Teaching and Learning for Student Success (
CETLSS) is dedicated to growing excellence in teaching and learning, civic engagement, mentoring, and career support. We offer a broad range of services directly aligned with the university's strategic goals to support faculty and student success.
This position serves as administrative support to the Executive Director and program support to the Center for Excellence in Teaching and Learning for Student Success. Duties and responsibilities of the position include but are not limited to the following:
- Creation and modification of internal processes for purchasing, travel, one-time pay contracts, and reservations/scheduling, in consultation with the Executive Director and other CETLSS staff.
- Submission of information collected through internal processes to institutional tools such as Chrome River, Docusign, PeopleAdmin, and Works (P-Card).
- Managing the overall budget for CETLSS by reporting expenditures and allocation of funds and sources on a regular basis.
- Event coordination, including securing space for events (e.g., New Faculty Orientation; Course ReDesign Institute), ordering catering and supplies, preparing event materials, tracking attendance, and set-up/tear-down.
- Collecting and organizing data, including program participation and evaluation data.
- Greeting faculty and staff who arrive at the CETLSS space in Anne Belk Hall for meetings and programming.
- Updating the CETLSS website to reflect programming and services.
- Coordinating the hiring, training, and supervision of student workers and monitoring their hours worked.

- Ability to reconcile and manage accounting records of moderate variety and complexity, including preparation of financial statements and reports.

Preferred Qualifications |
- Previous office experience or an equivalent combination of education and experience.
- Exceptional verbal and written communication skills, organizational skills, and time management skills.
- Proficiency in records management, verifying and reconciling financial data, and maintaining personnel and payroll records.
- Familiarity with AppState tools such as Banner, Google Apps for Ed, Works (Pcard), Drupal (web content management), Chrome River, DocuSign, PeopleAdmin and Yo-Mart.
- Detail-oriented and capable of productive, independent work.
- Ability to work in and contribute to a dynamic, collegial, and professional environment with a variety of campus constituents.

Information/Records Administration:
- Utilize, reconcile, and manipulate data from different internal and external software systems.
- Demonstrate acceptable interpretations and applications of the Resource Manual, University Policies and Procedures requirements.
- Create and modify internal processes for purchasing, travel, one-time pay contracts, and reservations/scheduling, in consultation with the Executive Director and other CETLSS staff.
- Submit information collected through internal processes to institutional tools such as Chrome River, Docusign, PeopleAdmin, and Works (P-Card).
- Recognize, define, and resolve non-standard problems in budgets, payroll, and office operations.
- Manage the overall budget for the unit by reporting expenditures and allocation of funds and sources on a regular basis.
- In conjunction with the Executive Director, advise CETLSS staff on fiscal matters such as budget planning, budget analysis, and funding sources.
- Develops filing and retrieval systems for paper and electronic files.
- Collect and organize data, including program participation and evaluation data.
- Performs all tasks with attention to detail.
Program Administration:
- Coordinate and schedule rooms needed for workshops and other programming during the academic year, during summer sessions, and for meetings and other activities.
- Provide logistical support for all meetings, workshops, institutes, and events.
- Event coordination, including securing space for events, ordering catering and supplies, preparing event materials, tracking attendance, and set-up/tear-down.
- Gather, organize, and present data for reports and assessment, in consultation with other CETLSS staff.
- Routinely update and edit the CETLSS website.
- Track office supply inventory and order necessary office and program materials and supplies.
- Perform other administrative duties as needed.
Communication:
- Independently compile, analyze, assimilate, and compose information into varied or non-standard formats with responsibility for content review, accuracy, quality, and timelines, requiring in-depth program knowledge and interpretation.
- Create correspondence related to programming, as requested by CETLSS staff.
- Compose logical and cogent emails, memos, or letters to administrators, faculty, and staff.
- Create and maintain distribution lists (Google Groups) for university communication and announcements.
- Update weekly university announcements about upcoming events and programs.
- Manage digital signage in the CETLSS space, including creating and updating digital playlists.
