Overview
Utah State University Extension Davis County is seeking an administrative assistant (Staff Assistant II) for the Botanical Center, Horticulture and Pesticide Safety programs. This is an in-office position that also works with the other departments and administrative assistants in a team approach to accomplishing common goals.This position reports to County Director and is supervised by the USU Botanical Center director.

Responsibilities
  • Perform office duties including answering phones, directing calls to appropriate parties, data entry, filing, appointment scheduling, and other general duties as assigned.
  • Provide administrative support including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.
  • Provide information and direction for emails, visitors and provide resources and information about classes and events.
  • Sort, screen, and distribute incoming and outgoing mail.
  • Make, process, and reconcile deposits.
  • Submit travel expenses and reimbursements.
  • Submit receipts for P-card purchases and expenses in timely manner.
  • Composes and word-processes various standard documents, correspondence, and reports.
  • Maintain building calendar and schedule buildings/rooms for meetings and events as requested.
  • Proofread and edit written materials as requested by faculty and office personnel.
  • Submit and request vendor set-up through PaymentWorks, and request payments through ServiceNow.
  • Support and assist Botanical Center Director as requested with assistance in planning, organizing, and providing support for public events.
  • Request and make monthly maintenance and utility payments for the Botanical Center.
  • Support and assist Horticulture Faculty Member with horticulture programs including the Master Gardener Program.
  • Support and assist Pesticide Safety Education Program Director as requested with assistance for events, financial requests and payments, and scheduling events and meetings.
  • Performs miscellaneous job-related duties as assigned.


Qualifications
Minimum Qualifications:
  • Two years of experience in an office setting or/and associated/vocational degree.
  • Willingness to work as a team member in accomplishing common goals.
  • Understanding of/or willingness to learn the university system.
  • Strong work ethic.
  • Be in the office during normal business hours.

Preferred Qualifications:
  • Five years' experience in an office setting with similar functions.
  • Associate's degree in office or business administration.
  • Knowledge of Botanical Centers and Extension at a land grant university.
  • Knowledge, Skills, and Abilities:
  • Skilled with computers and related software.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures
  • Excellent customer service skills.
