Job Summary

Under the direction of the Residency Program Manager, the incumbent is responsible for administrative support and coordination for department events such as Graduation for Residents and provides support to the Events Coordinator for other department events. Provides administrative support to the Residency program. Serves as the Department Representative for the Network Residency programs. Conducts and maintains department information for fit testing of respiratory apparatus. Provides administrative support to the faculty of the Department of Family and Community Medicine relieving them of clerical/administrative detail as appropriate. Acts as the scheduler for residents using Lightning Bolt.

Minimum Qualifications

  • High school diploma or equivalent experience
  • Administrative and/or program support experience.
  • Experience handling confidential information with tact and discretion; ability to exercise sound judgment, identify problems, and seek appropriate resolutions.
  • Experience working with administrative policies and procedures to guide decision-making and coordinator responsibilities.
  • Experience working with electronic scheduling systems.
  • Excellent organizational skills with demonstrated ability to prioritize multiple task, meet deadlines, and strong attention to detail.
  • Strong problem solving skills, resourcefulness, judgment, and discretion in order to gather complete information and develop solutions consistent with policies and procedures.
  • Ability to organize tasks and set priorities with minimal supervision in a coordinating capacity, including handling a variety of tasks with a high degree of accuracy and ability to set priorities with competing requests.
  • Ability to respond to internal and external customers in an appropriate and expeditious manner.
  • Strong communication and interpersonal skills to effectively interact with all levels of individuals, including the ability to listen and communicate effectively and provide accurate and timely information.
  • Strong administrative skills related to systematic data entry, identifying data discrepancies, documentation, record-keeping, and record retrieval.
  • Competency and comfort with computer systems and advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Access), including experience drafting, creating, maintaining, and updating documents, reports, flyers, itineraries, spreadsheets, and databases with accuracy.
  • Strong basic mathematical skills (addition, subtraction, division, multiplication, and percentages).
  • Demonstrated ability to work independently in a team environment, maintaining a professional demeanor while establishing and sustaining positive working relationships.

Preferred Qualifications

  • Experience working in a higher education program.
  • Knowledge of UCDHS policies and procedures related to purchasing, accounts payable, travel, travel advances and reimbursements, entertainment, gift processing, business management practices, and proficiency using Kuali and MyTravel.
  • Strong working knowledge of policies governing the appointment of visiting clinical faculty (APM) and medical staff and billing privileges (UCDHS Bylaws of Medical Staff, Hospital Policy 1928)

Department Overview

The Department of Family and Community Medicine (DFCM) is a School of Medicine academic/clinical department of approximately 15 faculty members, 134 Volunteer Clinical Faculty, 5 Staff Physicians, 47 Residents, and approximately 40 staff members. The department is responsible for providing research, education, and clinical service.
