Primary Purpose of Position
The Business Services Coordinator ( BSC) is responsible for all fiscal, accounting and budget matters related to grants and personal service agreements (service contracts) in coordination with the 1) Department Chairs and their respective Administrative Assistants who are responsible for daily office management; 2) the Associate Dean for Research; 3) the COAA Business Services Team, 4) the Business Manager of the College of Arts + Architecture

This position will support at the College level, financial responsibilities of planning, monitoring the use of and approving grants and contract expenditures for 15 grants representing a dollar amount of $1,250,000 budget (over multi year awards) and 350 artist and personal services contracts representing a dollar amount of $595,000 (on an annual basis).
Minimum Education/Experience
Required Minimum Qualifications:
Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

University Preferred Qualifications:
Four year degree in a related business function and two or more years of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.
Essential Job Duties
The Business Services Coordinator (BSC) for the College of Arts + Architecture is responsible for accounting and purchasing annual activities totaling approximately $900,000 in a mix of State Operating/Fees, Discretionary, and Sponsored Programs. The BSC works in coordination under the supervision of the CoAA Director of Business Affairs.

The Business Services Coordinator ( BSC) is responsible for all fiscal, accounting and budget matters related to grants and personal service agreements (service contracts) in coordination with the 1) Department Chairs and their respective Administrative Assistants who are responsible for daily office management; 2) the Associate Dean for Research; 3) the COAA Business Services Team, 4) the Business Manager of the College of Arts + Architecture.

  • Responsible for the coordination of financial planning external grants and contracts, including personal service agreements for performances in COAA, for the College, bringing into compliance University policies and procedures, and accounting systems.
  • Works with various administrators, directors, and PI's in budget planning and management and provides monthly and as-needed reporting.
  • Serves as Primary agent for purchasing/procurement/contracting, deposits and payment processing, financial record-keeping, and a range of compliance and audit activities related to: 1)sponsored programs (scholarships, awards, grants, contracts); and, 2) personal service agreements and contracts/administrative operations.
  • Responsibility as financial user of the Banner system, a user of the 49erMart purchasing system, a financial account manager
  • Provides additional accounting services across the college, as needed and assigned.
  • Handle restricted information on a daily basis and preserve confidentiality.

Other Work Responsibilities
The Business Services Coordinator will be heavily relied upon to identify processes and solutions in terms of work coordination/workflow, information sharing/reporting, and actions to ensure compliance related to financial records/purchasing/travel and receivables, sponsored programs, special projects, and risk management.
Departmental Preferred Experience, Skills, Training/Education

  • Masters's Degree in the arts/arts disciplines, or business administration, or related field (preferred), or 3-5 years of working experience in higher ed, accounting, or grants office.

  • UNC-Charlotte software systems (preferred).
  • Three to five years of experience in a related position/field is required with a preference for work experience in an educational setting.
  • Technical skills preferred: ability to use financial and information systems to create and update records, data management, analysis and display results and reports using technology.
  • Experience with Microsoft Office Suite programs (including Word, Excel, Access, and Power Point). Use of Excel pivot tables on a regular basis and other advanced level skills in excel is expected.
  • Ability to create and share materials for business decision-making and reporting purposes.
  • Personable and productively engage others to accomplish shared goals.
  • Must demonstrate high-level of customer skills, professionalism, creativity and must enjoy working with and communicating to a wide variety of individuals and have aptitude for financial and operations management.
  • Direct experience or affinity for visual art is desired.
  • Demonstrate a high level of accountability, adaptability, attention-to-detail, customer service, initiative, integrity, teamwork and clear communication.
  • Ability to learn, use, generate reports from, and train others in existing and newly developed campus and college web-based systems and related processing is critical.
  • Ability to work with minimal-to-moderate direct supervision in a dynamic, fast-paced environment, under pressure, while maintaining a positive, highly responsive and professional attitude.
