Job Description

As part of the fiscal team, the Business Support Specialist II performs a variety of independent, specialized business support duties within Accounts Payable for the University Bookstores (for all four campuses). This position processes invoices and credits and ensures utilization of available discounts on purchases. The position is also responsible for sorting and reviewing daily mail correspondence, as well as matching, scanning and reviewing AP documentation. This position must also provide customer service by answering questions via phone and email from various parties, including store employees, students, and vendors. This position requires attention to detail and the ability to multitask, prioritize, and follow up.

Essential Functions

  • Accurately verify and process approximately 15,000 invoices and credit memos totaling approximately $15M annually.
  • Pay close attention to detail, monitor discount and margin opportunities, and research and resolve discrepancies in purchase orders, invoices, and payments.
  • Monitor back charge activity which involves sending emails to suppliers requesting payment and following up on as necessary to ensure collection.
  • When possible, reduce invoice processing time by reviewing and recommending A/P procedures for automating invoices vs. the time-consuming process of printing invoices, sorting them alphabetically, and then reviewing the hard copy when performing the three-way matching process.
  • Receive student, parent, counselor calls and emails regarding bookstore billings (for all four campuses). Research and resolve questions concerning accounts.
  • Performs other job-related duties as assigned.
Shift

8:00 am - 5:00 pm, Monday - Friday

Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • Demonstrated understanding of and experience working with invoices, credits, purchase orders, terms and billing procedures.
  • Prior computer experience working with office software, including spreadsheets and databases.
  • Prior experience within retail accounting is helpful.
  • Analytical and decision making experience ideal.
  • Possess outstanding communication skills, including both written and verbal.
  • Ability to work with others in a positive and professional manner.
Anticipated Hiring Range

Salary Range: $21.00 - $25.00 hourly

Grade: GGS-007
