Overview:

INTECON, LLC is seeking a motivated Administrative Support Specialist to provide essential administrative and operational support to the Office of Small Business Programs and Industry Engagement (OSBP) within the Defense Counterintelligence and Security Agency (DCSA). This role supports the OSBP by ensuring efficient day-to-day office operations. Responsibilities encompass calendar management, travel coordination, document preparation, record maintenance, and serving as a central point of contact for administrative functions.


Roles and Responsibilities:

Provide the DCSA OSBP with specialized administrative and program support as follows:


  • Administrative Duties: Perform a full range of office administrative duties in support of OSBP. Duties will include but are not limited to:

-Calendar management

-Document preparation

-Task management

-Preparation of travel documents

-Office management

-Supply requests

-Answering and returning phone calls

-Organizing documents

-Maintaining records

-Printing, faxing, mailing/shipping overnight packages

-Copying, filing, and email/messages. etc.

-Other additional and/or alternative duties as assigned from time to time, including supporting other offices as needed. To support the team's needs, organizational goals and missions, other additional and/or alternative duties may be assigned.

  • Administrative Assistant Support: Work directly with the OSBP Chief to support all aspects of their daily work routine. Maintain the OSBP Chief's calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
  • Serve as the Point of Contact for OSBP: Function as the POC for OSBP with DCSA internal and external staff on electronic taskings. Calendar and meeting request for OSBP Chief.
Skills and Qualifications
  • Core Competencies: Knowledge of time-management skills, task management systems, scheduling and calendar coordination, proficiency with commonly used computer software and programs, such as the Microsoft Office suite of applications, excellent written and verbal communication skills, ability to pay attention to detail, and interpersonal skills.
  • Technical Proficiency: Utilize general office equipment, Microsoft Office Suite, Adobe Suite, SharePoint, and other task management systems to fulfill job responsibilities effectively.
  • At least 1 year of experience providing complex administrative support in a high-profile environment with tact and diplomacy.
  • At least 3 years of administrative support experience in a fast-paced, high-profile environment, with the ability to manage multiple tasks and adapt to shifting priorities effectively. Experience within a government or military setting is preferred.
  • At least 3 years of experience performing comprehensive administrative duties, including calendar management, document preparation, travel coordination, meeting organization, and office management.
  • Demonstrated experience (2+ years) using task management systems (e.g., SharePoint, ServiceNow) to track assignments, manage records, and coordinate tasks across departments.
  • Administrative and professional certifications are highly desirable.
  • Advanced skills in MS Office Suite (Outlook, Word, Excel, PowerPoint).
  • General understanding of DoD security policies.
  • Strong written and verbal communication skills, with excellent attention to detail.

Education:
  • Associate's degree in Business Administration or a related field is required. Equivalent years of experience or relevant certifications may be considered in lieu of a degree.

Security Clearance Requirements:
  • Active Secret clearance is required; TS/SCI clearance is preferred.
