Job Summary

The Executive Assistant reports directly to the Chair and Associate Chair in the Department of Pediatrics and manages the scope and timing of numerous departmental projects to achieve desired organizational goals and benefits.

As the executive assistant to the Chair of Pediatrics\Physician-in-Chief of UCSF Benioff Children's Hospital, the incumbent will exercise independent judgment regarding all communications from the Office of the Chair. There is a constant flow of email, correspondence, clinical privileges, grant proposals, academic appointments, and legal matters that require triage and understanding of what is highly sensitive, how quickly matters must be addressed, and how to do so appropriately. Constant, substantive decision-making is required in this role as liaison between the Chair and the University administration, faculty, house staff, staff, other universities, and the media, conveying sensitive and confidential information on the Chair's behalf. The individual will advise these parties regarding protocol of departmental decisions as appropriate. Crucial elements of this position are confidentiality, tact, and discretion to handle highly sensitive matters for the Chair and the units that comprise the Department of Pediatrics at all sites.

The individual also manages searches for high-visibility roles in the Department of Pediatrics, notably for Division Chiefs.

The Executive Assistant/Project Manager must be detail-oriented and able to manage multiple, multifaceted projects with conflicting deadlines concurrently. The incumbent must be self-motivated, intellectually curious, and excellent at both verbal and written communication.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $63,700 - $136,100 (Annual Rate).

Department Description

The Department of Pediatrics is one of the largest and most complex departments in the School of Medicine. The department is comprised of 19 divisions employing over 450 faculty, 83 fellows, 84 residents, 31 Post Docs and non faculty academics and 325 staff. The Department has annual clinical income from inpatient and outpatient activities totaling over $180 million and annual extramural funding (contracts and grants) exceeding $80 million. The department ranks 12th in the nation among Pediatric departments for funding from the National Institutes of Health.

The Department's clinical enterprise is based at the 183-bed UCSF Benioff Children's Hospital San Francisco, the 191-bed UCSF Benioff Children's Hospital Oakland, Mount Zion, Zuckerberg San Francisco General, and at a number of outreach clinics throughout Northern California, providing the Department with an unsurpassed opportunity to meet the needs of infants, children, and young adults throughout the Bay Area. In2023, UCSF Benioff Children's Hospitals ranked in all 10 children's specialties in U.S. News and World Report.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training
  • Minimum 3 years of related experience
  • Thorough knowledge of common organization-specific and other computer application programs
  • Solid analytical / problem-solving skills
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as external constituencies
  • Strong service orientation
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing
  • Ability to multi-task with demanding timeframes
  • Ability to use high-level discretion and maintain a high level of confidentiality
  • Solid skills in problem identification
  • Experience in executive level scheduling and coordinating meetings
  • Experience coordinating successful events

Preferred Qualifications


  • Familiarity with the organization's processes, protocols and procedures
