Essential Job Responsibilities:

The Administrative Assistant provides support to leaders in the Administration department (Legal, Sustainability, Controllership, FP&A, Tax, and Treasury) through a variety of tasks related to organization and communication, ensuring the efficient operation of the department. The candidate will be a shared support to approximately eight (8) Seattle-based senior leaders and the associated administrative needs of their roles and organizations. The candidate should have an attention to detail, strong problem-solving skills, and adept at managing multiple tasks in a timely manner.



  • Provide general administrative and clerical support to the department.
  • Organize and schedule meetings and appointments.
  • Providing support to senior leaders in the Admin department such as calendar management, arranging travel, and managing monthly expenses.
  • Scheduling meetings and events for teams and the department.
  • Responding to phone calls and emails related to department administration.
  • Assist in preparation of materials and documents for the department.
  • Records management, develop and maintain an accurate filing system.
  • Serves as a go-to for general department administrative inquires.
  • Maintaining vendor and contact lists.
  • Manage vendor invoices and payment processes.
  • Produce and distribute correspondence memos, letters, faxes and forms to employees.
  • Maintain company values, rules, policies and procedures are met to fulfill the company mission, as well as productive relationships with customers and vendors.
  • Responsible for special tasks requested by management and/or supervisor.

Qualifications:

  • Valid Driver's License
  • You must be able to communicate in a professional and proper manner with co-workers, management, clients and insureds.
  • Highly organized and flexible.
  • Detailed oriented and works with a high degree of accuracy.
  • Working knowledge of email, scheduling and Microsoft systems.


Work Environment:



  • The noise level in work environment is occasional.
  • Required job duties are performed in a professional office environment.
  • Required hybrid work schedule, at least 3 days/week in office
