This position is primarily responsible for all aspects of administration of assigned accounts. Assists Trust Officers in the daily administration of assigned accounts and provides office administration support. Interacts with other departments of the Nicolet to assure all aspects of service are being provided to meet client and company expectations.

As a Trust Administrative Assistant, you will:

  • Administer assigned accounts in accordance with governing instruments, division, and company policies, and local, state, and federal laws, rules, and regulations.
  • Responsible for accounting specialization when authorized at department level which may include account opening and closing, estate settlement/trust termination, funding and distribution of assets, cash receipts and disbursements, and account and asset maintenance. Perform other Trust functions as required and when authorized.
  • Prepare or assist with preparing statements and reports as requested.
  • Handle or assist with account payments made on behalf of the grantor/beneficiary.
  • Provide back-up administration on assigned accounts to include routine client contact regarding daily account administration. On appropriate accounts, may serve as the primary, regular client contact person, including initiate client calls and conduct routine retention calls.
  • Assist Trust Officer in retention call preparation and follow-up including appointment scheduling, material preparation, reviewing accounts, and investment performance reporting; may attend meetings.
  • Assist with the timely preparation and filing of fiduciary and personal tax returns and estimated payments.
  • May serve as portfolio manager of assigned accounts provided appropriate experience and/or training is in place.
  • Assist in the preparation of account documentation, investment review forms, or real estate review forms as requested.
  • Provide back up of other assistant administrators and administrative assistants as warranted to allow continued office and account administration.
  • Will serve as a primary problem-solver for client and account problems, sometimes without the need for assignment to the task by administrator and where appropriate for degree of problem, degree of risk and client sensitivity.
  • Assist with RIA administration when needed, which would include but not limited to, account opening paperwork, customer service, form updates.
  • Represent Nicolet Wealth Services and the Trust Division in a manner that maintains and expands business relationships.
  • Attend bank and/or Wealth Services meetings as requested.
  • Assist with preparation and/or presentation of trust sales projects or prospect communications.

  • Maintains complete confidentiality with internal and external customer information.
