The School Of Medicine Dean's Office

Job Description

Job Duties:

  • Supervise and lead a diverse team of administrative assistants, student workers, and temporary staff.
  • Foster a collaborative and productive work environment to ensure the efficient execution of daily tasks and responsibilities.
  • Assist the Senior Director of Operations and the Senior Associate Dean of Administration and Operation in managing complex projects within the Dean's Office, ensuring timely completion and adherence to quality standards.
  • Coordinate project-related activities, including scheduling, resource allocation, and progress tracking.
  • Provide administrative support as needed to Associate Deans in the office with tasks related to managing their schedules, appointments, and correspondence while demonstrating a keen understanding of the executive's priorities and availability.
  • Follow up on pending matters to ensure timely responses and actions.
  • Prepare various documents, reports, presentations, and correspondence based on rough drafts or dictations.
  • Maintain confidentiality when dealing with sensitive materials and situations.
  • Assist in the preparation of documents for meetings, including assembling necessary documents, briefing materials, and itineraries.
  • Ensure the executives are well-informed and adequately prepared for upcoming engagements.
  • Coordinate travel arrangements and process requests for reimbursement, adhering to established guidelines and protocols.
  • Aid in the budget preparation process by collecting and analyzing pertinent data from previous activities and projecting future requirements.
  • Assist with faculty reappointment letters, and merit increases.
  • Serve as a key point of contact for internal and external stakeholders, facilitating communication, making necessary arrangements, assembling meeting/project information, and updating relevant documents/information for the Dean's office.
  • Act as a liaison between the Dean's Office and other departments within the School of Medicine, MUHC and Campus/System colleagues.
  • Collaborate with other senior staff members to enhance the overall efficiency and effectiveness of office operations.
    Identify training needs within the administrative team and develop programs to enhance skills and knowledge.
  • Conduct performance evaluations and provide constructive feedback to team members.
Shift

Shift Type: Mon - Fri 8:00 - 5:00
Office/Administrative Hours: Yes - Position will have Office/Admin Hours

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 6 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Hiring Range: $67,746 - $100,027
