Position Description

As a Procurement Buyer, you will assist in the plant procurement process ensuring the daily duties needed for purchasing continuation are completed in a timely manner. You will report to the Senior Procurement Buyer. Your job will be to assist in the establishment of a reliable and innovative supply chain of materials and services for the plant. Your key responsibilities will involve vendor onboarding assistance, Enterprise Resource Planning (ERP) data maintenance, Request for Quote (RFQ) drafting and management, and price discrepancy investigation and resolution.

The Procurement Buyer will be based at Modine's Lexington, VA plant. This plant is a part of the Data Center group that manufactures HVAC systems for leading data centers around the globe. The plant is experiencing hyper-growth as data center demand grows due to expansion and innovation in areas such as AI and cloud computing. Companies building data centers like to source their HVAC and other mission-critical systems domestically so they have a reliable supply chain that adapts to their changing needs.

Key Responsibilities
  • Compile information from internal Modine entities to formulate Request for Quotes (RFQ) packages and send them to suppliers. Managing and answering the Request for Information (RFIs) and responses thereof.
  • Setup Purchasing Information Records (PIR) in the SAP system. Paying close attention to detail surrounding, price, part numbers, lead time, and other various purchasing information requirements.
  • Price discrepancy investigation and resolution. You will act as the link between Modine suppliers and the Accounts Payable department, ensuring timely resolution of discrepant Purchase Orders (POs) and Invoices. This will include checking invoices against POs, PIRs, e-mail traffic, and quote information.
  • Tracking cost changes received from suppliers. Bringing these to the attention of the Senior Procurement Buyer as well as updating PIRs and POs as directed.
  • Assist in the onboarding supplier process. Send onboarding packages to new suppliers, run NAVEX screenings, compile documents and responses, and send such packages to the Modine onboarding coordinator in a timely manner.
  • Daily conflict resolution concerning lead times, last minute part requirements, and other issues that may arise to ensure the production line is kept running in an efficient manner.
  • Manage the sample approval process. Facilitate the asking / sample receiving from suppliers, getting such samples in hands of engineering for testing, and provide feedback to the suppliers on how their product tested out.
  • Manage the Non-Disclosure Agreement (NDA) process. Take special care to not share confidential information with suppliers, unless covered by a respective, current NDA. Ensure appropriate categorizing and documenting of new NDAs in the Modine SharePoint page.
  • Assist with the resolution of supplier quality issues via bringing issues to the attention of the Senior Procurement Buyer coupled with advising suppliers of issues as directed.
  • In the absence of the Senior Procurement Buyer or at the direction thereof, attend weekly cadence meetings and speak intelligently to current procurement processes and RFQ statuses to meet production needs.
  • Manage Engineering Work Orders (EWOs), Change Requests (CRs), and send print revisions and quotes to suppliers once these respective process are completed and released to production.
  • Occasionally attend trade shows with the Senior Procurement Buyer to explore cost savings options among other suppliers.
  • Assist in the analyzation, investigation, and reporting of various reports to include the Price Paid Variance Report (PPV), Invoice Block Report, Quality Report, and Monthly Surcharge Report.
  • Assist the Senior Procurement Buyer in maintenance of the Supplier Scorecard to ensure accurate documentation of Supplier performance.
Required Education & Qualifications
  • Associate's degree in related field
  • At least 2 years of experience in supply chain, logistics or procurement
  • Excellent organizational skills to include the technological organization of e-mail integrity, Microsoft Teams operation, and online folder organization
  • Ability to understand and priority tasks in a fast paced, change environment
  • Basic Microsoft Excel skills required, intermediate or advanced Microsoft Excel skills preferred
  • Interpersonal communication skills to include e-mail and Microsoft Teams communication mediums
  • Technical aptitude dealing with numbers and cost calculations
  • A strong understanding of the Microsoft Office suite and operation thereof
