Job Summary South Mountain Community College is seeking two Administrative Associate Coordinators to support the Vice President of Academic Affairs and Student Affairs. These roles are pivotal in ensuring the efficient operation of the VP's office by managing administrative and office tasks, coordinating projects, and overseeing daily operations. Responsibilities include organizing and prioritizing activities, managing meetings and events, and facilitating initiatives related to the academic or student affairs divisions. These positions require strong organizational skills and the ability to support the seamless execution of division objectives. Essential Functions 30% - Coordinates meetings, projects, activities and special events for the VP of the Academic or Student Affairs' office. 20% - Provides a variety of basic research, preliminary analysis, and coordination for assigned projects; monitors and tracks budgets and expenditures. 20% - Maintains executive calendar, coordinates travel, records minutes of meetings, gathers research and other materials for meetings, activities and events. 20% - Creates original correspondence, reports, presentations, documents, and materials; maintains department records, files, manuals and/or documentation. 10% - Responds to inquiries requiring detailed knowledge of MCCCD policies and procedures; screens and routes calls; provides a variety of information requiring specialized knowledge of college services to visitors, mail and correspondence; solves problems and troubleshoots to resolve issues; other duties as assigned. Minimum Qualifications Associate's Degree from a regionally accredited institution and three (3) years of administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff. OR High School Diploma/GED and five (5) years of administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff. NOTE: One (1) year of work experience is equivalent to 2,080 hours worked. Therefore, employment must be indicated as full-time or part-time on the resume to determine applicant qualifications. Desired Qualifications A. Experience working in a college or university setting. B. Experience providing administrative support for an executive leader. C. Experience working with diverse populations. D. Experience composing, designing, formatting and editing documents, correspondence, presentations and other communication material utilizing technology such as Microsoft Suite or Google Workspace. E. Experience with college software systems (SIS, HCM, FMS, Canvas, etc.). Special Working Conditions May be required to sit for a prolonged period of time; viewing a computer monitor.
