Position Summary

At Stony Brook Medicine, a TH Staff Assistant II is a valuable member of our team, who provides administrative, executive support with the ability to interface with all levels of management throughout the hospital. Qualified candidates will demonstrate superior communication and organizational skills while adhering to our high standard of excellence.

Duties of a TH Staff Assistant II - Regional Perinatal Center Leadership Support may include the following but are not limited to:



  • Maintains a courteous and helpful approach when dealing with visitors and staff.
  • Demonstrates a high degree of understanding of others even during the most stressful situations; resolution of conflicts and problem solving with empathy.
  • Accepts constructive feedback in a positive manner working towards solutions rather than focusing on the problem.
  • Processes incoming and outgoing communications in an effective and timely manner. Develops and maintains office and filing systems so that necessary information is readily accessible.
  • Keeps information necessary for budget preparation, programmatic reporting and financial analysis accurate and readily available. Processes purchase requests, requests for travel reimbursement, journal and budget transfers, work requests, and the like in a timely and efficient manner.
  • Coordinates records/types meeting minutes, prepares CME's and distributes as requested by the Perinatal coordinators
  • Coordinates administrative support functions for the Birth registrar's office required for daily operations
  • Coordinates administrative support functions for the Regional Perinatal office required for daily operations. Coordinates activities for the Annual Conception to Cradle conference: Coordinates RPC meeting for development of Agenda, Speakers. Coordinates travel or all speakers. Monitors budget for flyers/posters/easels and miscellaneous expenditures. Assist with coordinating with event-registration and with the department of OB.
  • Organizes systems to establish defined standards for non-nursing functions in patient care areas. Monitors adherence to standards and quality management.
  • Provides a safe and therapeutic environment in all areas.
  • Assures compliance with hospital environmental policies and standards as well as regulatory and accrediting agency standards for physical environment.
  • Serves as the Volunteer Liaison in conjunction with the supervisor for the Regional Perinatal Center(RPC) . Works with volunteer services to provide support for the Regional Perinatal Center projects and Birth Registrars daily needs. This role includes but is not limited to the following: Interviewing new volunteers for appropriate assignments, orients to the area of work, meets weekly with volunteers ensuring work is completed and accurate. Ensures that volunteers are supported and appreciated in their role.
  • Ensures timely completion of schedules/Kronos. Reviews and updates change in schedules prior to supervisors' approval and posting of schedules. Manages meeting evites(calendars) for all meetings required by the RPC and/or the department of Obstetrics and the Neonatal Intensive care unit. Responsible for but not limited to audits and data entry assigned to the RPC by the state and hospital-wide initiatives.
  • Participates in statewide/hospital-wide initiatives but not limited to the following: Newborn screening as an auditor, NICU equity project data collection-introduction of families to the survey.
  • Participates in all activities established by NYS for the Regional Perinatal Center
  • All other duties as assigned.



Qualifications

Required Qualifications: Associate's degree. At least 3 years of administrative/clerical experience. Computer skills with proficiency in Microsoft Office Suite. Ability to work independently, with excellent time management and communication skills. Experience and skill in focusing on details, accuracy, multi-tasking and follow-through. Must be able to effectively interact and communicate with all Department Heads/Supervisors on a house-wide basis.

Preferred Qualifications: Bachelor's degree. Computer skills including: Peoplesoft, Kronos, Cerner, Lawson, excel, and power point. Experience in a hospital or healthcare setting. Knowledge and experience in the application of performance improvement methodologies. Bilingual.

Prior to start date, the selected candidate must meet the following requirements:



  • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services*
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 4 panel drug screen*
  • Meet Regulatory Requirements for pre employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).


Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.

*The hiring department will be responsible for any fee incurred for examination.

Anticipated Pay Range:

The salary range (or hiring range) for this position is $46,818 - $62,424 / year.

The above salary range represents SBUH's good faith and reasonable estimate of the range of possible compensation at the time of posting. The specific salary offer will be based on the candidate's validated years of comparable experience. Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.

Some positions offer annual supplemental pay such as:



  • Location pay for UUP, CSEA & PEF full-time positions ($3400)
