The Administrative Assistant provides support to the SVP Regulatory & Clinical Affairs (RCA), and the Chief Medical Officer / VP Global Clinical Affairs (GCA). The Administrative Assistant manages access to all above, maintains and modifies their schedule, and ensures they are aware of any issues needing immediate attention. The Administrative Assistant also provides a broad range of highly skilled and confidential administrative support to ensure smooth operation of the RCA and GCA groups.The Administrative Assistant is an important part of the business and is the first point of contact for these areas within Avanos Medical.

Essential Duties and Responsibilities:




  • Arrange and schedule meetings on behalf of RCA and GCA
  • Assist with event planning - e.g., Quarterly Planning Meetings (QPM), CRA Town Halls, quarterly business reviews, departmental meetings. Finding location, arranging catering if needed, meeting/room setup details, attending the events to provide support, providing materials, and other needs for a successful event
  • Assist with gift and acknowledgement (employee reward) support
  • Assist with Team Building Events
  • Update, organize, and coordinate meetings for Key Opinion Leaders (KOLs) & Advisory Boards.
  • Assist with travel arrangements including booking of flights, hotels and car reservations, and other documents as required for travel to local and global locations
  • Assist with interview planning
  • Participate in projects and continuous improvement activities
  • Provide meeting materials including pre-reads in advance of meetings and telephone calls
  • Process expenses in a timely and accurate manner
  • Gather budget/forecast inputs and compile reports
  • Ordering supplies, binders, etc.; assist with shipping for GCA; and other needs.
  • New Employee on-boarding/off-boarding of employees and contractors
  • Responsible for Purchase Orders (POs)/New Vendors adds. Create and manage purchase order process in SAP
  • Assist with Document Control, Consolidation and reporting of Innovation / Ideation inputs
  • Ownership of SharePoint administration
  • Asset production for project presentations (poster boards, slide decks, etc.)
  • Project support beyond Document Control, in accordance with skill set.
  • Handle visitor and caller's inquiries whenever possible
  • Provide ad hoc project requests including maintaining files, organizing, and other administrative support
  • All other duties as requested.



Qualifications

Required



  • Bachelor's Degree from an accredited University and/or equivalent work experience and education
  • 5+ years of experience as an administrative assistant
  • Strong organizational and time management skills
  • Strong written and oral communication skills
  • Ability to multi-task in a fast-paced environment and multiple priorities
  • Accurate record keeping and proof reading
  • Ability to influence internal parties
  • Knowledge of project management and/or process excellence
  • Relationship management and experience
  • Advanced-Intermediate skills in all MS office (MS Word, Excel, Outlook, PowerPoint, Visio and Access)



Preferred



  • Bachelor's Degree
  • Medical device admin background strongly preferred
  • Experience with Research engines, Audio and teleconferencing, SAP, Concur, and Share Point.
  • Experience working for Directors and VPs and above
  • Experience managing expenses
  • Experience with negotiations and vendor management
