Job Summary

#CA-SS

This split position provides coordination for a portion of the Department's Education programs. The position reports to the Pediatrics Health Professions Education Supv 1 as well as the Fellowship Program Directors for Pediatric Critical Care Medicine and Development Behavioral Pediatrics. The position has vast knowledge of educational information systems, competency and Milestone evaluation systems, and accreditation and regulatory standards. This position directly supports the PCCM fellowship program directors in fellowship-related activities, as well as the Student Instructors and Faculty in the Department of Pediatrics in regard to the Pediatric Critical Care fellowship. The position is responsible for the daily administrative components, maintenance and needs of the PCCM fellowship program and assisting the DBP fellowship and Pediatric residency programs. The position ensures all RRC, GME and ACGME requirements are strictly followed and manages all pediatric policies set forth by institutional, state, and federal guidelines and acts as a liaison between program director and residents/fellows; between residents/fellows and faculty; and between program director and institutional GME personnel.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Understanding and experience with ACGME Accreditation Policies and Procedures, including accreditation compliance and reporting requirements.
  • Demonstrated experience successfully preparing for and supporting ACGME accreditation visits.
  • Experience managing the fellow advisement process working closely with the fellowship directors in administering and maintaining ACGME competency-based goals and objectives for each fellow, including maintaining fellow/resident duty hour documentation system.
  • Experienced user of fellow/residency program systems and data systems, including Accreditation Data System (ADS) and Electronic Residency Application Service (ERAS).
  • Understanding of institutional and program policies of the National Residency Match Program (NRMP).
  • Demonstrated program management experience, including budgetary oversight requiring the planning of budgets and maintaining budgetary accountability.
  • Advanced word processing skills and experience (e.g., formatting, tables, math functions, merge functions, graphics, charts) and various computer skills, electronic mail software, database management software, graphics software, and other standard office desktop applications.
  • Must be able to translate or format documents between similar software packages, and different platforms, such as Microsoft Word, Excel, PowerPoint, and SharePoint, Electronic Residency Application System (ERAS), Thalamus, MedHub, ADS, and Microsoft Outlook.
  • Ability to work independently, with limited or minimal supervision and direction.
  • Excellent organizational and time management skills to establish goals, ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions, maintaining composure under heavy workload, conflicting priorities or difficult callers/visitors. Demonstrated ability to follow through on details, providing all necessary and required documentation.
  • Decision-making skills to exercise initiative, creativity, and independent judgment to anticipate needs in areas of responsibility.
  • Ability to problem solve in a manner consistent with institutional and departmental goals and objectives.
  • Ability to research, extract, compile, elicit, and summarize information from a variety of sources to prepare reports and information clearly and concisely.
  • Ability to record and format meeting minutes and track follow-up items.
  • Ability and skill to exercise tact and diplomacy in dealing with others and establish and maintain cooperative working relationships.
  • Demonstrated customer service skills and experience working with staff, faculty, residents, student, patients, and a culturally diverse workforce.
  • Ability to establish and maintain positive working relationships throughout the University and community and maintain appropriate interdepartmental communications. Ability to work independently as well as part of a team; effective collaborative skills to build trust among faculty, staff and residents.
  • Ability to discern sensitive issues and maintain confidentiality. Work with internal and external vendors with diplomacy and professionalism.
  • Strong oral and written communication skills to create and initiate error free documents, including writing and editing skills to compose and proofread letters, financial statements, budget reports and other assigned documents, and to articulate information in a clear, concise, and visually attractive manner, creating error-free documents.
  • Positive attitude toward responsibilities, faculty and co-workers, and demonstrated ability to interact in a helpful, effective, and informative manner with a wide variety of people, using tact and diplomacy.

Preferred Qualifications

  • Experience coordinating residency, fellowship, or other educational programs at the departmental level at a major teaching hospital, preferred.
  • Experience coordinating fellow training license process, including license renewals.
  • Experience in scheduling and coordinating large-scale conferences/meetings and special events.
  • Knowledge of UCDH Medical Staff Administration policies and procedures.
  • Knowledge of UC Davis and UCDH structures, policies and procedures.

Work Environment

UC Davis is a smoke and tobacco free campus effective January 1, 2014.
