What this job involves: JLL is seeking a dynamic Facility Planner/Scheduler to join our national Integrated Facilities Management (IFM) team. This role will support our growing Life Sciences Division, providing essential services to a large client base.
What your day-to-day will look like: Coordinate maintenance planning, scheduling, implementation, and documentation. Manage work orders, supplier relationships, and procurement support. Oversee system training, database management, and performance reporting. Ensure compliance with Environment Health and Safety regulations. Develop strong client relationships to facilitate efficient operations. Collaborate with Facility Managers and technicians on work planning and scheduling. Coordinate logistics with all stakeholders (MRO, janitorial, purchasing, customers, etc.) Conduct on-site visits to gather accurate information for work orders. Procure parts and supplies through the MRO process. Interface with clients, visitors, and guests. Maintain and update CMMS work order system. Monitor performance metrics and advise management of potential SLA violations. Provide training and support to staff and clients on CMMS and other systems. Ensure contract compliance and quality control. Perform administrative tasks and special projects as needed. Here's the rewritten work schedule: Work Schedule: Monday - Friday, day shift. Start time typically 7 AM, but negotiable. Desired or preferred experience and technical skills: Familiarity with building systems and equipment preferred, but willingness to learn is essential. Ability to read and interpret drawings, work orders, sketches, blueprints, and technical manuals, or willingness to learn these skills. Knowledge of building system types and equipment, including client-specified preventive maintenance schedules and tasks, or enthusiasm to acquire this knowledge. Experience with CMMS and other facility management software. Required Skills and Experience: 1-4 years of administrative experience (IFM environment preferred). Proficiency in Microsoft Office suite (Outlook, Excel, PowerPoint, OneNote, Word). Strong verbal and written communication skills. Analytical and problem-solving abilities. Attention to detail and ability to multitask. Professional demeanor and team player attitude. Ability to make informed decisions with discretion. Positive "can-do" attitude and self-starter mentality. Willingness to learn and grow in a fast-paced Life Sciences setting.
