Position Highlights

Office of Societal Impact at the University of Arizona is in search of a Coordinator, STEM Learning Communities (extended temporary employment). The STEM Learning Communities Coordinator supports the implementation and sustainability of the CREAR STEM Learning Communities (SLC) under the Title III HSI-STEM Project CREAR. This position oversees administrative operations, facilitates recruitment and outreach efforts, and maintains relationships with campus and community partners. The Coordinator plays a critical role in managing course schedules, tracking student participation, and executing marketing and logistical strategies to enhance the program's success. In close partnership with the Assistant Director, this position ensures alignment of grant initiatives and institutional goals for access and engagement in STEM education.

This position operates with moderate guidance, allowing the Coordinator to independently manage day-to-day responsibilities while consulting the Assistant Director for alignment while consulting the Assistant Director for alignment on strategic goals, complex decisions, and program outcomes. The Coordinator is expected to use sound judgment, creativity, and prior experience to address challenges and adapt processes in support of the STEM Learning Communities' objectives.

This position requires travel to high schools, community colleges, and other community partners and will sometimes require coordination of and attendance at weekend events.

This position is funded by a U.S. Department of Education Title III HSI STEM grant entitled Project CREAR (Culturally Responsive Engagement, Articulation, and Research), which ends September 30, 2026. Our goal is for this position to be funded by other sources by the end of the grant period, however, that cannot be guaranteed.

Duties & Responsibilities

* Coordination of STEM Learning Communities

* Oversee the implementation and operation of STEM Learning Communities that align with grant goals and institutional strategies to improve student engagement, retention, and academic success.

* Facilitate outreach and recruitment efforts as part of the coordination process, including visits to high schools and community colleges, informational sessions, and collaboration with local organizations.

* Develop partnerships with key STEM academic units to integrate STEM Learning Community frameworks into undergraduate student engagement and retention initiatives.

* Collaborate with university departments to arrange course schedules, secure meeting spaces, and set up linked course sections for STEM Learning Communities.

* Support Assistant Director of Curriculum Design & Development to coordinate the recruitment, onboarding, and training of Peer Mentors, ensuring alignment with program goals and culturally responsive practices.

* Maintain accurate student enrollment records, track participant progress, and ensure compliance with academic and grant-related goals.

* Lead the development of marketing materials and website updates to promote STEM Learning Communities.

* Data Collection & Grant Support

* Develop and maintain processes for tracking program participation, outcomes, qualitative feedback and student success metrics in coordination with the grant requirements.

* Assist in preparing detailed grant reports, progress updates, and evaluation summaries for institutional and funding agency review.

* Coordinate program evaluation efforts, including the development and dissemination of surveys and feedback tools for participants and stakeholders.

* Support the grant team in preparing conference presentation proposals, grant applications, and other submissions that showcase program outcomes and foster sustainability.

* Assist in the preparation of materials for funding agency reviews and site visits, ensuring compliance with grant reporting standards.

* Assist leadership team in identifying opportunities to improve programming using data-driven insights.

* Administrative Support and Maintenance

* Manage program operations, including supply orders, resource allocation, and coordination with the Student Success District Building Management Board.

* Provide logistical support for recruitment events, workshops, and training sessions, ensuring smooth execution of all activities.

* Support the creation and dissemination of marketing materials to promote program awareness across campus and the community.

* Maintain centralized records of program operations, including recruitment activities, course schedules, and participation data.

* Prepare and deliver presentations on STEM Learning Communities and recruitment outcomes to leadership, academic departments, and community partners.

* Support the Assistant Director of Inclusive Program Design and Development in ensuring compliance with grant requirements, including accurate and timely reporting.

* Serve as the primary point of contact for program inquiries, providing timely and accurate responses to internal and external stakeholders.

* Facilitate scheduling and logistics for events, meetings, and training sessions associated with STEM Learning Communities.

* Additional duties may be assigned.


Minimum Qualifications
  • Bachelor's degree in Higher Education, Curriculum Development, Educational Policy, Social and Behavioral Sciences, STEM/Health Sciences, or a related field and a minimum of 3 years of experience in program coordination, student recruitment, or related roles within higher education settings.
Preferred Qualifications
  • Bilingual in English and Spanish
  • Experience with University of Arizona systems, particularly PeopleSoft UAccess, Salesforce/Trellis is highly desirable.
  • Experience in supporting the retention of underserved students in STEM fields, especially through culturally responsive mentoring and asset-based approaches.
  • Experience with student transition barriers (e.g.- out of high school, community college transfer, etc.) for underserved populations in STEM majors.
