Your Role With Us:

  • Reviews and negotiates all service agreements using best practice guidelines as well as input from regulatory and general counsel; Consult with end-user departments to identify relevant business terms to optimize contracts and outcomes.
  • Issues purchase orders for all service contracts using best practice guidelines and receives all associated invoices and credit memos. Receive and process all rebate checks.
  • Maintains service and GPO contract records (contract documents and correspondence) using applicable contract management system and other workflow tools.
  • Facilitates formal bid processes with supply chain coordinator and departments for any service contract renewals that should be done via RF(x). This includes planning, scheduling and document creation for all RFP-related activities.
  • Responsible for the activation and renewal of all GPO contracts. Coordinates all Group Purchasing Organization Contracts and is the liaison between the GPO and PeaceHealth providing excellent two-way communication.
  • Manages renewal notices for all service contracts and ensures that department input is included during contract renewals or termination.
  • Demonstrates an in-depth understanding of all information systems (especially the Materiel Management Information System, Contracts Management System, and AP document management system) that support customers and department's needs. Ensures accurate and timely availability of contract and pricing data in the Materiel Management Information System (MMIS) and other contractual management systems.
  • Provides consultative and liaison services to internal customers educating, informing, training and assisting them with contractual needs. Proactively provides information and is a resource to user departments for contractual issues by maintaining thorough knowledge of Professional Service and GPO contracts and vendor's obligations relative to those contracts.
  • Regularly monitors vendor performance to contractual obligations and takes action as appropriate. Participates in supplier meetings providing feedback relative to contractual performance.

    Background/Expertise:

    • Bachelor's Degree required; Preferably in Healthcare or Business Administration; OR additional relative experience may be substituted for formal education at the rate of two (2) years of experience for each year of missing education.
    • Minimum of three (3)years experience in contracting, purchasing, legal, or related field required.
    • Prior supply chain or purchasing experience required.
    • Knowledge of Group Purchasing Organization (GPO) analytical tools and contracts required.
    • Knowledge of regulatory terms, HIPAA terminology, and general legal terms and conditions.
    • Skilled in collecting, interpreting, communicating, and presenting information in a clear, concise manner required.
