Project Administrator

Purpose:

We are seeking a highly organized Project Administrator to provide administrative support to the Planning and Real Property Branch. This role plays a critical part in ensuring project goals are met by assisting designers, planners, and construction managers in executing effective projects that support our client's units, missions, and enterprises. The Project Administrator will be responsible for managing real property site-specific details, maintaining ownership history records, and organizing critical infrastructure and equipment data.

Responsibilities:

  • Provide document formatting, graphical support, and editorial services for planning team materials, including problem statements and proposals.
  • Update Real Property and equipment databases in a timely and accurate manner.
  • Develop, adapt, and input facility data into the Civil Engineering Program database for District One and Enterprise.
  • Conduct research and documentation reviews on facilities, including local record searches, to identify and validate relevant documents.
  • Assist staff by analyzing documents for accuracy and adequacy to ensure compliance with requirements.
  • Maintain office files, draft letters, memorandums, and reports as needed.
  • Conduct research on planning projects, real property, and civil work inquiries.
  • Execute real property and equipment enrollment procedures and assist in developing and maintaining database systems.



Education and Experience:

  • Associate's degree in business, management, or related fields with training in office technology, accounting, business mathematics, computer applications, business law, or contract administration.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Visio, Access, Project).
  • Experience using Electronic Data Management Systems (such as Synergis Adept).
  • Strong organizational and communication skills with the ability to manage multiple tasks effectively.
