Description
Position Summary: Person in this position will perform all administrative duties for the WestCare GulfCoast-Florida Program(s) as assigned. Work in conjunction with the Senior Accountant on all finance-related matters. Essential Job Functions include those listed below. Other duties may be assigned as needed. Essential Job Functions:
- Assist with GulfCoast-Florida programs' operations and administration.
- Process all client Food Stamp applications and document procedures for all applicable programs, complying with all State requirements, and maintain files according to regulations. Work closely with the State Department representative for food stamps. Swipe cards to pull funds off cards and deposit to operating account.
- Work cooperatively with program and senior accountant to maintain all client Trust Accounts.
- Compare client pay stubs with checks dropped and/or direct deposit receipts from the bank. Verify all charges to client accounts are accurate. Meet with graduating clients to go over their account before their final check is processed. Give client their check when they leave.
- Enter all client pay check info, client draw requests, and any other charges and/or deposits into Clinical Data System (CDS).
- Prepare client financial requests weekly, ensuring requested funds are available in their account. Submit to senior accountant for processing.
- Fill in for staff when they are on vacation or if position is vacant. This includes but is not limited to answering phone, completing client intakes, taking notes at treatment team, and daily data entry.
- Prepare monthly statements for client's review. Copy senior accountant on statements and monthly food stamp draws.
- Maintain inventory of office and program supplies and order monthly, as approved by program director.
- Create security swipe badge and issue keys for all new employees.
- Other duties may be assigned as needed.

Qualifications
Education:
- High school graduate or equivalent
- Bachelor's degree preferred.
Working Conditions:
- Work is performed primarily in a professional, office setting.
- Regular attendance is required. Working overtime may be required and essential to perform job duties at times.

- Requires mobility and physical activity: Having an adequate range of body motion and mobility, to work in the office environment including standing and walking (even and uneven surfaces) to interact with co-workers in the office environment, sitting for extended periods of time, bending, twisting, reaching, balancing, occasional lifting and carrying of up to 30 pounds. Constant use of computer and telephone systems is required which includes coordination of eye and hand, and fine manipulation by the hands (typing, writing, and working with files).

Talking is required to impart oral information to employees, clients, patients, and the public, and in those activities in which the employee is required to convey detailed or important spoken instructions to others accurately, loudly, or quickly.

- Requires seeing: Clarity of vision at 20 inches or less. This factor is required to complete paperwork for many of the employee's essential job functions.
- The normal work routine involves no exposure to human blood, body fluids or tissues. Job duties do not include performing or assisting in emergency medical care or first aid. However, exposure or potential exposure may be required as a condition of employment. Appropriate personal protective equipment will be readily available to every employee.
