GENERAL FUNCTION

The Office Specialist organizes, coordinates & implements office process & procedures in order to ensure organizational effectiveness & efficiency. This role will support all office processes, office & supply inventory management, sales team support, invoice & receptionist support, & general office administration. Energetic experienced professional who can wear multiple hats. Needs experience in handling a wide range of administrative & executive support related tasks & able to work independently. Well organized, flexible & enjoys the administrative challenges of supporting an office of diverse employees.

MAJOR DUTIES & RESPONSIBILITIES

MAIL SHIPPING & RECEIVING



  • Process all outgoing pre-stamped personal USPS & business FedEx packages
  • Verify, sign, deliver & record all incoming/outgoing Accountable Mail
  • Sort & deliver incoming FedEx, DHL, UPS, Staples packages & all U.S. Postal Service mail
  • Handle "rush" pick-up/delivery requests
  • Maintain & provide specialized mailing forms i.e. Express, Registered, Certified & Insured
  • Daily interaction & updates with vendors to ensure that procedures & work standards for the Mail Center operations are maintained


SALES SUPPORT



  • Processes orders, RAs, & credit memos.
  • Send out sales quotes for sales team.
  • Follow up on purchase orders
  • Handles manufacture rebates
  • Creates invoices & directs all phone call leads to the appropriate team memeber
  • Provides daily updates on open orders & shipping.
  • Builds & maintains strong account partnerships at all levels.
  • Manages seasonal line sheets & market materials.
  • Provides excellent customer service & follow-up.
  • Other various tasks that support & contribute value to the department


OFFICE SUPPORT SERVICES



  • Fill customer suppply & stocking orders
  • Create & maintain office phone list & desk assignments
  • Track "Customer" personnel moves
  • Preparing business correspondence, agendas, & presentations, using Microsoft Office
  • Scheduling, coordinating & catering ordering for meetings, events & other similar activities


GENERAL / COMMUNICATION



  • Identify, evaluate, research, & recommend solutions to office services related issues
  • Coordinating between departments & operating units in resolving day-to-day administrative issues


BASIC QUALIFICATIONS



  • Bachelor's Degree from accredited institution
  • 3-5 years of administrative experience
  • Exceptional customer service skills
  • Excellent interpersonal & communication skills (written & verbal)
  • Ability to handle multiple tasks, projects with competing priorities & tight deadlines
  • Strong organizational skills & attention to detail
  • Strong adaptability, flexibility & resourcefulness while maintaining a professional attitude
  • Must be a team player
  • Proficient in Microsoft Office (Word, Powerpoint, Excel)
  • Tech Savvy
  • Must be able to lift 50 pounds

Pay Range: -37.65

Employee pay is determined by multiple factors, including geography, experience, qualifications, skills and local minimum wage requirements. In addition, you may also be offered a competitive bonus and/or commission plan, which complements a first-class total rewards package. Benefits may include health care, retirement savings, paid time off/vacation, and various employee discounts.
