General Summary of Position Performs staffing functions and activities for all Patient Care Units in accordance with established policies and procedures. Assists in maintaining accurate staffing levels for clinical and support personnel for all Patient Care Units. Responsible for maintaining all edits on a daily basis for payroll, Clairvia, and other duties as assigned. Reports to the Director of Nursing Resources & Capacity Management. Primary Duties and Responsibilities
Oversees staffing coordination for all Patient Care Units.Trouble shoots and problem solves special staffing issues as necessary.Inputs, monitors and maintains accurate computerized schedules for staff on a monthly basis.Edits all changes in MyTimeProactively critiques time schedules checking for accuracies and variances.Maintain all daily schedule changes in Clairvia.Maintain census accuracy in Clairvia.Cover for call outs, obtain extra staff when the need arises.Contacts Clinical Administrators, Nursing Directors & Assistant Directors as necessary for adequate staffing.Knows the duties and capabilities of each category of employee.Keeps Nursing Directors & Assistant Directors informed of chronic absenteeism, excessive sick time and habitual late offenders.Answers all phone lines as calls come in using proper etiquette.Communicates with co-workers of pending staff changes or other needed information for the following shift.Communicates with Nursing Directors of schedule posting deadline and assists them to meet it.Sends notice to all Licensed staff for renewal deadline. Follows up on an as needed basis.Assists co-workers with job duties when needed.
Minimum Qualifications Education
- High School Diploma or GED required
- May require up to l year of technical or other specialized training such as training in typing/keyboarding/word-processing and office administrative procedures including customer service, etc..
Experience
- 1-2 years 1 to 3 years experience as an Office Assistant II or equivalent, demonstrating organizational skills, interpersonal skills, phone etiquette, and a working familiarity with office computers (PC's and/or mainframes) performing word-processing/typing and data entry and the manipulation of basic data base(s) required and
- Payroll and/or scheduling experience preferred
Knowledge, Skills, and Abilities
- Requires the ability to read and write; and knowledge of grammar, and arithmetic including fractions and decimals.
- Requires the use of standard office equipment (i.e., personal computer, data terminal, on-line printer, calculator, telephone, facsimile, copier); the preparation, comparison or checking of reports, records and related data; and basic use of Microsoft Excel formulas, charts, tables, drawings and knowledge of their application.
- Advanced working knowledge of Microsoft Word, PowerPoint, Outlook, and Excel software applications; familiarity with Microsoft Access.
- Ability to maintain professional relationships and communicate at all levels within the organization.
- Communicates with Directors, Assistant Directors, Senior Directors, Charge Nurses and other resources as necessary for adequate staffing.
