Posting Summary |
Rutgers, The State University of New Jersey, is seeking a Program Coordinator II for the Office of Global Initiatives and Experiential Learning (
GIEL). This position reports to the Executive Director of the Office of Global Initiatives and Experiential Learning. The Program Coordinator II works independently with minimal instruction and oversight from the Executive Director of
GIEL; he/she has the authority to develop and implement administrative procedures and policies. He/she performs professional work that requires knowledge of general administrative and office management principles as well as specific knowledge of University policy and procedures.
This position is responsible for and not limited to the following:
- Coordinates travel itineraries and logistics with partner universities, host country, ground coordinators and vendors (i.e. travel documents, ground transcriptions, food, lodging, lectures, tours)
- Organizes and maintains office records and databases, tracks office supply inventory and ensuring replenishment as needed, organizes meetings, and schedules conference room space.
- At the direction of the Executive Director, this position will provide support for projects and programs; prepares reports and communications, compile research, organize data and prepare spreadsheets.
- Processes all GIEL invoices, contracts and expenses.
- Coordinate multi-media branding and marketing campaign.
- Recruits, on boards, trains and supervise student employees, interns and volunteers.
- Coordinates program logistics for co-curricular calendar.
- Exercises a high level of discretion and act in a professional manner in the performing of his/her responsibilities.
- Completes other assignments consistent with the mission, vision, role, and goals of the Office of Globally Engaged Experiential Learning.
- Other duties as assigned.

Qualifications
Minimum Education and Experience |
- Requires a Bachelor's degree in a related field, or an equivalent combination of education and/or experience.
- Requires up to two years relevant experience in an administrative function, good communication and interpersonal skills, and computer literacy.

Preferred Qualifications |
- Experience with Rutgers systems (I.e., Cornerstone) and Rutgers budgeting.
- Experience with website maintenance.
- Comfortable working in a multilingual and multicultural environment.

Required Knowledge, Skills, and Abilities |
- Requires a Bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping, and report writing principles and practices.
- Experience in an administrative function, excellent communication skills, and expert knowledge of relevant computer software.
- Proficient in Microsoft Office Suite (particularly Word, Excel and PowerPoint). Demonstrates ability to multi-task and work in a fast paced setting under multiple deadlines.

- Regularly uses computer equipment, and software programs including the Microsoft Office Suite (including Word, Excel, and PowerPoint), Drupal (for website management), as well as Rutgers-specific programs.

Physical Demands and Work Environment |
Program Set-Up: Carrying boxes with promotional material, setting up tables and chairs for medium size events (50-100ppl) and managing office supplies/storage space.
