Administrative Assistant in the Ohio Colleges of Medicine Government Resource Center (GRC) who serves as Assistant to the Associate Director and the Director. The Administrative Associate has a wide range of duties, such as providing support to The Council of Medical School Deans, GRC programs and strategic initiatives. The suitable candidate:
- Exhibits high levels of critical thinking and expertise in executing administrative functions; serves as a primary point of contact and liaison to high level officials from sponsor agencies, department heads, faculty, and other constituencies on a broad range of organizational issues.
- Resolves problems as needed; conveys directives and sensitive information;
- Maintains calendars and proactively manages the distribution of information in the office and to the Associate Director and Directors schedules by identifying issues to be addressed by the Associate Director.
- Prepares and distributes agendas and other appropriate materials for meetings; takes meeting minutes.
- Processes requests and purchase orders/requisitions requiring the Associate Directors approval.
- Keeps the Associate Director aware of current and sensitive issues and deadlines and making independent evaluations regarding the Associate Director and Director's commitments.
- Possesses knowledge of university policies and procedures to ensure the smooth operation of the Associate Director and Directors daily operations.
- Arranges and organizes events and meetings, including overseeing and managing conference room reservations.
- Strategically communicates and assist with assigned working groups and sub-committees of the GRC.manages and distributes all incoming mail, supplies, equipment and miscellaneous packages which includes maintaining inventory of office supplies and equipment.
- Develops and prepares presentations and spreadsheets.
- Prepares, submits, and monitors travel requests.
- Manages special projects and events as requested; other duties as assigned.
Required Qualifications High School diploma or GED. Certification or vocational training may be required. 4 years of relevant experience required. Requires successful completion of a background check. Basic familiarity with the Microsoft Office suite of applications (Word, Excel, PowerPoint, OneNote) and Adobe Acrobat. Requires successful completion of a background check; qualified candidates may be asked to complete a pre-employment physical, including a drug screen. Additional Desired Qualifications Associate degree in relevant field may be preferred. Six or more years of relevant experience preferred. Capacity to successfully complete online trainings regarding Protections of Human Subjects in Research.
