Position Overview

Position Summary
Under limited direction, provides administrative support and graduate student services, exercising independent decision making, judgment and initiative. This position requires a moderate to high level of technical skill with admission and records systems.


Requirements

Duties and Responsibilities:

  • Perform all processes and procedures related to graduate students including initial contact and tracking of graduate student inquiries; receipt, review, and verification of admission applications and supporting documents; forward admission recommendations for graduate school based on catalog policy to the graduate dean
  • Proficient in the use of the University's admissions and records software and systems including but not limited to Banner
  • Organize, maintain and update graduate student records, both electronic and paper, as needed
  • Create and maintain tracking information for graduate assistantships
  • Initiates and monitors graduate assistantship referrals in NEOGOV, while working closely with human resources
  • Compiling graduate student research grant applications, distributing applications to sub-committee, informing students of decisions and monitoring of awards
  • Maintain records related to Graduate Faculty status, Graduate Catalog Revisions, and Graduate Program Review
  • Supervise student workers in the Graduate School
  • Work collaboratively with the International Advising office to process appropriate paperwork for issuing I-20 forms for international admissions
  • Perform duties as needed such as word processing/typing, filing, verifying information, coordinating flow of documents and scheduling events and meetings as well as monitoring budgets for office operations, and other duties as assigned
  • Prepare agendas, maintain records and serve as recording secretary for Graduate Council
  • Perform other duties as assigned
Minimum Job Requirements:
A Bachelor's degree or equivalent certificate and a minimum of two years of experience related to the duties specified or an equivalent combination of education and experience is required.
Knowledge, Skills and Abilities:
  • High level of technical skills with computer software/systems relevant to office procedures and student records
  • Ability to work with sensitive information and to maintain high standards of confidentiality at all times
  • Thorough knowledge of office management policies, methods and procedures
  • Ability to independently interpret and appropriately apply a wide variety of policies and procedures
  • Efficiently plan and organize the work flow of the unit
  • Ability to write clear and concise reports
  • Ability to effectively gather data and complete routine assignments independently
  • Ability to establish and maintain cooperative working relationships with students, faculty, administrators and others
  • Capability to work in an environment of constant interruptions via telephone and walk-in traffic

Working Conditions

Physical Demand and Working Conditions:

  • Work is performed inside during normal work hours
  • Work is sedentary in nature that at times requires exerting up to 10 pounds of force occasionally and/or consistent amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
