Duties & Responsibilities |
Program Management:
- Support Executive Director with the execution of the strategic plan and overall coordination of programs.
- Develop detailed program implementation plans based on the scope of work and contracts.
- Support the business development team with enrollment outreach campaigns.
- Manage the registration process, including updating information, distributing communications, and supporting the collection and input of registration documents.
- Monitor program progress through completion and provide final reports and account statements.
- Participating in program debriefs, reviewing successes and identifying opportunities for future enhancements.
- Process and distribute evaluation reports upon program completion.
Business Unit Operations and Administration:
- Support Executive Director with the overall execution of operational goals and day-to-day running of the organization.
- Oversee and manage the timely procurement of all necessary resources to support operations and programs.
- Research, negotiate, secure and manage internal/external vendors to support operations and program needs/requirements.
- Research, secure, and arrange facilities for successful program delivery.
- Monitor expenditures against the budget and communicate with stakeholders as necesssary.
- Assist with EEE data entry and process faculty/staff expenses and financial reconciliation.
- Maintain up-to-date records on all aspects of the operation procedures and program delivery including pricing sheets, budgets, scope of work statements, timelines, and processing invoices, faculty pay agreements, and travel expense reimbursement, royalty payments.
Relationship Building and Communication:
- Cultivate positive and strong relationships with internal teams and external collaborators.
- Adress issues promptly and report progress to key stakeholders.
- Proactively manage changes in the program plan and communicate updates effectively.
- Create communication emails with program details to registered participants ensuring they have all the necessary information from the point of registration to the end of the program providing a high quality and seamless experience.
- Engage faculty and facilitators to gather pre-work, materials, assessments, simulations, PowerPoints in a timely manner to share with participants.
- Attend client meetings, contribute to discussions, provide operational support and summarize action plans.
Event Planning and Coordination:
- Plan and oversee events and programs including onsite and offsite event hosting for special events, custom programs, open enrollment, and sponsorship events.
- Manage all logistical aspects of program delivery, including registration classroom setup, and extracurricular event management.
- Set up program content delivery through D2L community, Adobe Express, or client site.
- Maintain and prepare essential program communication and materials.
- Support faculty, participants, and vendors with onsite program delivery.
Leadership and Innovation:
- Supervise 1-2 individuals providing operational support, as needed.
- Develop innovative approaches to enhance program delivery.
- Influence policies, standards, and processes within and outside the job function.
- Maintain operational policies, procedures, and guideline manual.
Knowledge, Skills and Abilities (KSAs):
- Extensive knowledge and application of principles, theories, and concepts relevant to the job function.
- Ability to plan, coordinate and implement strategies for effective administration.
- Ability to provide advisory, referral, and information services to faculty, administrators, and external agencies.
- Proficiency in collecting, analyzing, and reporting data related to academic programs.
- Strong communication skills and the ability to work independently on new projects and concepts.
- Ability to manage multiple tasks and build positive relationships with proactiveness and strong organization skills.

Minimum Qualifications |
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- Minimum of 5 years of relevant work experience, or equivalent combination of education and work experience.

Preferred Qualifications |
Experience in supervising lower-level staff and collaborating with faculty to address academic administrative issues. |
