    Job Description

    The Legal Department Administrator will support the corporate legal team by managing various administrative functions, with a focus on employment litigation management, contract management, legal invoicing, and compliance tracking. This role is key to maintaining the efficient operation of the legal department and ensuring that the company remains compliant with federal and state employment regulations, union agreements, and contractual obligations. The ideal candidate will have prior experience in corporate legal administration, particularly in managing employment-related matters, and will be proficient in Legal Tracker or similar invoicing systems.

    1. Legal Invoicing and Budget Management
      • Manage and process legal invoices through the Legal Tracker system, ensuring proper coding, documentation, and alignment with budgeted expenses.
      • Review invoices for accuracy, track payment status, and address discrepancies with law firms.
      • Prepare periodic reports on legal spend, and assist in budget forecasting for the legal department.
    2. Employment Litigation and Labor Relations Support
      • Assist in managing employment-related litigation, including discrimination, wrongful termination, wage and hour disputes, and labor relations cases.
      • Track case status, deadlines, and necessary documentation for ongoing employment litigation.
      • Coordinate with external counsel and internal HR teams to gather information for employment disputes and ensure timely responses to complaints, claims, and settlements.
      • Support in preparing responses to agency inquiries (e.g., EEOC, DOL) and assist in managing settlements or resolutions.
      • Maintain records of union negotiations, grievances, and related legal matters, ensuring compliance with union agreements and federal labor laws.
    3. Compliance and Contract Support
      • Support the legal team in managing compliance documentation, particularly related to labor laws, employment regulations, and union agreements.
      • Assist in tracking compliance with federal and state labor regulations, including those impacting federal contractors.
      • Coordinate with contract managers and HR to ensure adherence to union contracts, collective bargaining agreements, and other labor-related compliance requirements.
      • Assist in preparing reports for audits or governmental compliance reviews related to labor and employment matters.
    4. Case and Document Management
      • Assist with the organization and management of litigation files and documentation, ensuring all legal documents are filed, tracked, and maintained per legal and regulatory requirements.
      • Help facilitate communications with external counsel, government agencies, union representatives, and other relevant parties.
    5. Administrative Support to Legal Team
      • Organize and maintain schedules for legal team members, including meetings, deadlines, and appointments.
      • Assist with legal research, document drafting, and preparation for meetings, hearings, or union negotiations as required.
      • Manage communication with external parties, including government agencies, union representatives, contractors, and clients, while maintaining confidentiality and professionalism.
    6. Legal System and Software Management
      • Oversee the use of Legal Tracker or other invoicing and case management systems, ensuring efficient usage across the department.
      • Train and support staff on the system, addressing any issues or questions that arise.
      • Assist in the integration of legal technology tools that improve department efficiency and effectiveness.
    Qualifications
    • Bachelor's or Associate's degree in Business Administration, Paralegal Studies, or related field, or equivalent professional experience.
    • 3+ years of experience in a corporate legal department, with particular experience in employment law, labor relations, or managing employment litigation.
    • Experience with invoicing systems such as LegalTracker, or similar legal billing and case management software.
    • Excellent organizational and multitasking skills, with the ability to manage competing priorities and maintain a high level of accuracy.
    • Strong written and verbal communication skills, with attention to detail and the ability to handle sensitive matters confidentially.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with legal management software.
    • Ability to maintain confidentiality and manage sensitive legal and business information with professionalism.

    Preferred Skills:

    • Familiarity with federal subcontractor regulations and compliance requirements.
    • Experience working with labor unions, collective bargaining agreements, and grievance procedures.
    • Paralegal certification or similar legal training is a plus.
    • Experience with other legal technology platforms or document management systems is a bonus.
