College of Business and Economics Project Coordinator

Department Name: CBE Dean's Office
Work Schedule: This is a full-time, non-exempt position, 40 hours per week, eligible for benefits. This is a temporary appointment expiring on or before April 30, 2026, contingent upon the availability of funds.

Position Overview:
Under the direct supervision of the Resource Manager and the Dean, the incumbent will perform various clerical and specialized support duties for the College of Business and Economics.

Essential Functions:
The incumbent will be responsible for supporting the College with the following duties, but not limited to:

  1. Content Creation & Updates:
    Writing and curating monthly newsletters to inform CBE alumni about current events, guest speakers, and upcoming activities within the college.

  2. Design & Theming:
    Collaborating with others who focus on measurements and dimensions to design templates based on a monthly theme (e.g., January's celebratory New Year design, February's tribute to lives lost in fires, and March's nod to National Pi Day).

  3. Engagement Tracking:
    Using Crescendo Interactive to monitor alumni engagement, including open rates, time spent on the newsletter, and interactions such as forwarding emails or clicking the donor tab.

  4. Alumni Engagement Reporting:
    Identifying alumni with high engagement and forwarding this data to the Dean, particularly those who click the donor tab, ensuring we follow up on potential donor interest.

  5. Coordination of Reports and Spotlights:
    Coordinating the Dean's Annual Report, the CBE Alumni Newsletter, and the CBE Spotlights series.
    Interviewing students, faculty, alumni, and donors for the Dean.
    Writing content for the Dean's Annual Report, the CBE Annual Report, CBE Spotlights, faculty accomplishments such as awards and societal impact, community engagement activities, student stories, staff accomplishments, donor awards, and alumni contributions.

  6. Event Coordination:
    Coordinating the Dean's Advisory Board meetings, Meet the Firms event, Honors Convocation, Fall and Spring College meetings, Faculty and Staff Townhalls, Business Pitch event, and Career Fairs.
    Developing event/meeting budgets, coordinating hospitality, ordering supplies when necessary, developing agendas, confirming participants and speakers, coordinating honorariums for awardees, providing travel support for guests, and taking minutes during meetings/events.
    Videography and video editing when needed.

  7. Grant and Contract Activity Tracking:
    Tracking contract and grant activity for the College, ensuring that PIs are spending in accurate categories and adhering to the grant proposal/award.
    Providing assistance with UAS Campus programs usage.

Note: Some of these job duties involve handling Level 1 data.

Requirements:

  • Strong computer skills, including Microsoft Office Suite and Excel.
  • Adobe Suite knowledge is a plus.
  • Attention to detail.
  • Working knowledge of English grammar, spelling, punctuation, and proofreading, with some writing and editing skills.
  • Ability to work independently with minimal supervision.
  • Ability to complete tasks without prompting.
  • Investment in the program and ability to represent the program as an ambassador to the outside world.
  • Demonstrated interest or ability to work in a multicultural and multiethnic environment.

The incumbent must demonstrate an interest or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the UAS. Failure to satisfactorily complete the background check may affect the application status of applicants or the continued employment of current UAS employees who apply for the position.
