We are seeking a Operations Coordinator for our Wichita, KS shop.
The Operations Coordinator is responsible for the plans, coordination, budgets, estimates, and all other activities of their assigned jobs.
Essential Functions/Responsibilities
- Assist with project setup/closeout in addition to ordering permits, setting up travel reservation for crew and any rentals needed for the project.
- Work closely with Accounting/Admin team for project paperwork, change orders, job billings, reconciliation of receipts and inventory entries.
- Buy-out materials and subcontractors within job specifications and Mahaney standards to maximize project profitability.
- Coordinate, price, and produce purchase orders.
- Generate and track submittals, RFI's, warranty and change order documentation.
- Monitor reports concerning such areas as work progress, costs, labor and scheduling.
- Assist with TFM and Procore systems
- Generate job billings for Operations Leaders review based on job costing and job progress in accordance with the contract requirements. Ensure accurate billing information relayed to the Accounting team.
- Ensure that all pre and post job checklist requirements are executed.
- Maintain and prepare all correspondence (written and electronic) and project documentation.
- Act as the point of contact and communicate project status to all participants.
- Successfully close out projects.
- Maintain and improve online project systems and software.
- Assist with other duties assigned as it relates to the Operations team.
Position Requirements
- 2 years work experience in an administrative role; construction industry strongly preferred.
- Exceptional communication and interpersonal skills.
- Keen attention to detail and an aptitude for problem solving.
- Able to proactively address potential issues.
- Excellent computer skills, including Microsoft Office.
- Collaborative working style and team-player attitude.
- Positive and encouraging personality.
- Able to work independently with little supervision.
- Highly motivated with a strong work ethic.
- Proficiency with Smartsheet or project management software is a plus.
- Outstanding organizational skills and ability to prioritize tasks.
- Able to thrive in a high-volume, deadline-driven work environment.
