The Role

Work collaboratively with the Director - Wheelchair, and National Manager - Wheelchair to assist in executing grassroot initiatives related to the growth of wheelchair tennis in the United States.

Assist the Staff Liaison to the Wheelchair Tennis National Committee with administrative support

    Attend USTA Annual Meeting to support the wheelchair committee meeting and sessions
  • Assist National Manager with tasks identified in the weekly to bi-weekly calls with committee leadership
  • Support the Sub-Committee Chairs in Tournaments & Rules, Grants and Outreach, Collegiate and Junior Pathway, veteran/military outreach, high school and focus on ensuring wide-spread utilization of the ServeTennis platform.

Assist with the execution of the Annual National Wheelchair Grassroots Grants Cycle and Grantee Support.

  • Take responsibility for sending out confirmation/rejection emails to each applicant in a timely manner
  • Email about, and collect, w-9 information from each recipient
  • Complete Concur requirements for each National Grassroots Grant recipient and submit Invoices
  • Ensure that the application, final grantee list, and any other pertinent procedural information is published in accordance with USTA guidelines (ie, on the website, emailed through Marketing, etc)
  • Provide the list of recipients to the proper Subcommittee so that they may conduct their grant tracking and accountability throughout the year
  • Provide accountability submissions to the relevant Subcommittee to aid in the next year's awards

Provide administrative support (i.e. email communication, grant distribution procedures, shipping of materials, post grant accountability) for the following grassroots national initiatives;

  • Junior Pathway Regional Provider Grants
    • Email about, and collect, w-9 information from each recipient
    • Complete Concur requirements for each Coach Development Workshop Grant recipient and submit invoices
    • Process reimbursements and grant requests
  • Veteran Stipends
    • Each month, log into Veteran Stipends approval portal for all submitted applications
    • Review rolling rankings to confirm each veteran meet minimum USTA guidelines for federal funding
    • Approve or Deny funding for all applications before the 15th of each month
  • Wheelchair All-Comers Camps
    • Email about, and collect, w-9 information from each recipient
    • Complete Concur requirements for each All Comers Camp Grant recipient and submit invoices
    • Ensure that the application, final grantee list, and any other pertinent procedural information is published in accordance with USTA guidelines (ie, on the website, emailed through Marketing, etc)
    • Creating and distribution of promo items and coach supplies for ACC
    • Assist in all camps uploading camps onto ServeTennis
    • Conduct follow up surveys from participants and coaches on their experience
  • Wheelchair Coach Development Workshops
    • Email about, and collect, w-9 information from each recipient
    • Complete Concur requirements for each Coach Development Workshop Grant recipient and submit Invoice
    • Creating and distribution of promo items and coach supplies for ACC
    • Assist in all camps uploading coach workshops on top ServeTennis
    • Conduct follow up surveys from participants and coaches on their experience
  • Collegiate Wheelchair Tennis Program Grants
    • Email about, and collect, w-9 information from each recipient
    • Complete Concur requirements for each Collegiate Program Grant recipient and submit invoices
    • Provide accountability submissions to the relevant Subcommittee to aid in the next year's awards

Assist the Wheelchair Tennis National Manager in the support of the USTA National Tournaments

  • Create and update all tournament sanctioned forms, information and deadlines
  • Update USTA.com with updated annual calendar and marketing
  • Adhere to all USTA National and ITF Tournament sanction deadlines, and follow up with tournaments as necessary
  • Send tournament player surveys to all national tournament directors 3 months post-event.
  • Schedule National Tournament Follow-Up Meetings 4 months after hosting their event
  • Liaise with the committee to review lists and liaise with our ServeTennis and rankings team on timelines.
  • Monitor mail and organize a review committee for any and all appeals.

Assist the Wheelchair Tennis National Manager in the support of the Adult and Junior USTA National Wheelchair Championships & Junior Tournament Series

  • Create, order and ship Gold, Silver, Bronze Ball trophies
  • Liaise with Wilson to order and ship tennis balls (Wilson Sponsorship)
  • Build USTA Wheelchair Tournament Calendar for Committee Discussion and input
  • Email about, and collect, w-9 information from each recipient
  • Distribute checks for each Junior Tournament Series recipient
  • Ship tennis balls and giveaways to providers
  • Update USTA.com with updated annual calendar and marketing

Assist the Wheelchair Tennis National Manager in the support of the US Sanctioned ITF Wheelchair Tennis Tour Events

  • Build USTA National Tournament Calendar (Levels 1-3) for Committee discussion and approval
  • Update USTA.com with updated annual calendar and marketing
  • Collect w-9 and other relevant information from tournaments, and send out checks for half of the prize money amount to all ITF events in a timely manner
  • Manually update all ITF Men's Open, Women's Open and Quad Open into serve tennis.
  • Send tournament player surveys to all ITF tournament directors 3 months post-event.
  • Schedule ITF Tournament Follow-Up Meetings 4 months after hosting their event

Provide logistical support in hosting the bi-annual Wheelchair Section Staff & Provider In-Person Workshop

  • Once selected, email about, and collect, w-9 information from each recipient
  • Send regional provider grant funding through concur
  • Generate/refresh additional funding request forms and distribute funds on a rolling basis

Other duties as assigned by the National Manager to assist in the grassroots initiatives that support the expansion of wheelchair tennis programming.

Who You Are

  • 1-2 years of experience managing tournament logistics
  • Excellent verbal, written and interpersonal communication skills.
  • Tennis playing background is helpful.
  • Demonstrated ability in coordination, organization and data management
  • Strong communication skills.
  • Computer skills - Word, Excel, PowerPoint and Access. Knowledge of Tennis Link, TDM and web content management systems is helpful.

The salary for this position is $18.00 per hour. The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills.
