The Impact You'll Make

As the Administrative Assistant supporting executive members of our Global Products Group, you will be more than just a meeting, calendar, and traveling guru. You will also be a proactive partner in managing projects, streamlining operations, and taking a proactive approach to problems. The role requires exceptional organizational skills, a positive attitude, and a problem-solving mindset to help the leadership team stay focused on high-priority objectives. This is a fast-paced team with many competing priorities.

What You'll Do
  • Manage calendars, meetings, and travel with a solutions-driven approach.
  • Coordinate interview scheduling and the onboarding of new hires.
  • Track budgets, accruals, and purchase orders.
  • Prepare reports, presentations, and key documents with accuracy and creativity.
  • Serve as a trusted liaison between internal and external stakeholders.
  • Own key projects, ensuring timely execution and follow-through.
  • Identify opportunities for process improvements and implement solutions.
  • Coordinate cross-functional initiatives, tracking progress and resolving roadblocks.
Who We're Looking For

Minimum Qualifications

  • Minimum of 6+ years of related experienceproviding administrative and operational support for Director+ level executives.
  • A proactive, solution-oriented mindset with the ability to think two steps ahead.
  • Strong project management skills with the ability to juggle multiple priorities and deadlines.
  • Exceptional organizational skills with keen attention to detail.
  • Strong written and verbal communication skills.
  • Tech-savvy with professional proficiency in MS Suite (Outlook, Word, PowerPoint, Excel).
  • Experience in a fast-paced, technology-driven environment.

This position is in a group that has 900 employees, one Executive Admin and two other Administrative Assistants. Excellent communication skills and effective teamwork are required and critical to the success of the role.This role reports to a CVP but will primarily take direction from the Executive Administrator.

This position is 100% on-site, Monday - Friday, with no opportunity for remote or hybrid work.Dress code for this role is business casual most of the time but will also require a more professional business casual during customer visits to the site.

Preferred Qualifications

The ideal candidate has demonstrated experience working in a very fast-paced environment providing administrative support to executives. We're looking for an expert problem solver. We need someone who can remain calm during stressful situations, such as rebooking international travel last minute or revising an itinerary during a customer visit. We need an administrative assistant who is comfortable and capable of working with leaders who have a wide range of styles. Some need more attention than others. In this role, one administrative style does not fit all. We need someone who can flex their style based on the leaders whom they support. We need an administrative assistant who is comfortable pivoting, with short or no notice, from one project to another, based on business priorities.

Successful candidates will have a positive attitude, are eager to provide assistance (as opposed to looking for ways not to help out) and can perform the job in a professional manner at all times. We're looking for someone who enjoys and is good at building relationships with various groups, such as IT, catering, facilities, security, and the admin community. We're looking for someone who tends to say, "Not my job, but I'm happy to help out," rather than "Not my job" and refusing to help.

Our hybrid roles combine the benefits of on-site collaboration with colleagues and the flexibility to work remotely and fall into two categories - On-site Flex and Virtual Flex. 'On-site Flex' you'll work 3+ days per week on-site at a Lam or customer/supplier location, with the opportunity to work remotely for the balance of the week. 'Virtual Flex' you'll work 1-2 days per week on-site at a Lam or customer/supplier location, and remotely the rest of the time.
