Oversee front office personnel and provide support, training, and process improvement. Provide secretarial and administrative support for the department.

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. High school diploma or equivalent.

EXPERIENCE:

1. Three years' experience in office administration/coordination.

1. Coordinates department daily operations by providing personnel support, training, and process improvement. Able to cover the front office as needed for vacations, sick days, leave of absence.

2. Provides input on front office personnel performance evaluations and recruitment.

3. Ensures daily compliance to uniformed methods and standards of department operations in line with hospital policies, objectives, CQI process, and safety.

4. Participates in administrative staff meetings with Manager

5. Orders and maintains appropriate economical and medical supplies and inventory for department operations.

6. Types, edits, and composes reports and correspondence of routine nature, as well as matters requiring confidentiality.

7. Coordinates travel arrangements and itinerary (staff and physicians).

8. Coordinate physician, department, and personal meetings/appointments. Ensures appropriate physician coverage as needed. Monitor and reconcile provider and department schedules.

9. Screens telephone calls, and routes calls to appropriate party. Answer questions within area of knowledge.

10. Maintains responsibility for all incoming mail. Screens all incoming correspondence. Answers routine correspondence independently.

11. May attend meetings and take Minutes.

12. Organizes interview times and locations for potential department hires.

13. Manages conference room requests and verifies the room is organized prior to scheduled meetings.

14. Reviews and enters data into Kronos, submits payroll.

15. Builds department scheduling templates in Epic and Aria.

16. Manage multiple work queues within Epic and Aria.

17. Works directly with Authorization Specialist to provide specific treatment information to acquire insurance authorization for Radiation Oncology services.

18. Handle queries from professional and technical billing services over two locations.

1. Basic computer knowledge and ability to operate standard office software required.

2. Possess leadership qualities and ability.

3. Skilled in Microsoft Office Suite software applications, including, but not limited to, Word, Excel, Access, Power Point and Outlook.

4. Good verbal and written communication skills.

5. Basic mathematical skills.

6. Ability to deal tactfully and harmoniously with patients, visitors, and staff.

7Ability to work effectively in stressful situations to prioritize and perform detailed assignments.
