Job Summary

The Chef Administrator is responsible for overseeing all administrative aspects of kitchen operations, ensuring smooth workflow between culinary teams and operational efficiency. This role involves managing ordering processes, inventory control, digital menu entry, and tracking food budgets to maintain cost control. The Chef Administrator works closely with chefs, procurement teams, and financial personnel to optimize kitchen operations while maintaining high-quality standards.

Key Responsibilities

Ordering & Inventory Management

  • Oversee and coordinate all food and supply ordering to ensure accurate procurement.
  • Maintain relationships with vendors, ensuring timely and cost-effective purchasing.
  • Monitor inventory levels, track usage, and implement waste reduction strategies.
  • Ensure proper storage and rotation of ingredients to prevent loss and ensure freshness.

Chef Order Forms & Menu Management

  • Manage and update chef order forms, ensuring accuracy and alignment with budget constraints.
  • Work with chefs to standardize order templates and streamline requests.
  • Enter and update menus in digital systems, ensuring proper categorization and compliance with dietary needs.

Budgeting & Cost Tracking

  • Track and manage declining food budgets, providing real-time insights into spending.
  • Analyze purchasing trends and implement cost-saving strategies without compromising quality.
  • Collaborate with financial teams to report on budget performance and forecast needs.

Operational Efficiency & Compliance

  • Ensure all ordering and inventory processes align with company policies and food safety regulations.
  • Work with chefs and management teams to enhance workflow and operational efficiency.
  • Assist in implementing technology solutions for order tracking, budgeting, and inventory control.

Qualifications & Skills

  • Strong background in culinary operations, food service management, or purchasing.
  • Experience with inventory management systems and digital menu software.
  • Excellent organizational and administrative skills, with keen attention to detail.
  • Ability to analyze data, manage budgets, and implement cost-control measures.
  • Strong communication skills to liaise between chefs, vendors, and management teams.
  • Proficiency in Microsoft Excel, ordering platforms, and menu management software.

Preferred Experience

  • 3+ years in a culinary administrative role, purchasing, or food service management.
  • Knowledge of food safety standards, sustainability practices, and vendor relations.
  • Experience working in high-volume food service or commissary environments.
