THE POSITION

The Department of Education is searching for a Clerical Assistant 2 to provide complex clerical support to the Bureau of Special Education Director's Office. The Clerical Assistant 2 must be able to maintain a high level of professionalism and maintain cooperative working relationships with Department staff, representatives of professional associations, and field representatives who contact the office. This position encompasses a variety of responsibilities that include administrative support to the Restraint Information Collection System (RISC), Resource Account Management System (RAMS), and Special Education Advisers within the Bureau. This position is subject to shifts in work effort, due to external influences and time frame constraints.

DESCRIPTION OF WORK

The responsibilities of this position include drafting memos, letters, and other correspondence, as appropriate for signature of Special Education Advisers, Division Chief, Assistant Bureau Director, and Bureau Director. You will handle routine administrative matters such as screening and directing phone calls to proper staff. Independently reviews and processes initial RISC data for submission to the individual responsible for final approval and follow up investigations, as well as support the RISC database and filing system. Oversees the Bureau's Resource Account Management System (RAMS) database and directs inquiries to proper Bureau personnel by investigating data provided by the inquirer. Follows up with Bureau staff on late, timely, or High Importance Inquiries. Reviews Outlook calendars to schedule meetings virtually or in person as requested by Special Education Advisers, Division Chief, Assistant Bureau Director, and Bureau Director. Prepares and processes various types of forms (travel expense vouchers, out-service training, invoices, etc.) You will be the primary contact for planning, and booking travel arrangements on behalf of the Bureau Director, and other Bureau Leadership/staff as requested.

Work Schedule and Additional Information:

  • Full-time employment, 37.5 hours per week.
  • Work hours are 8:00 AM to 4:30 PM, with a 1-hour lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, up to 4 days per week. Staff are in-person at the Forum Building Offices weekly on Tuesdays. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg, PA.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $35,306 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.
