Job Title: Executive Assistant
Location(s): Basking, NJ (Hybrid)
Job Description:
- You are organized, detail-oriented, and thrive on resolving operational challenges that come your way. You'll be organizing calendars, ensuring meeting governance, coordinating activities, ordering supplies, managing travel arrangements and expense processing, providing technical support, processing recognition, and supporting event coordination - essentially taking care of the day-to-day operations for Vice President, Devices and several Sr Directors.
Additional responsibilities will include:
- Managing and maintaining executive complex calendars with constantly changing priorities, while maintaining sensitivity, including scheduling meetings without clearance on occasion, arranging travel accommodations as necessary, and carving out time for focused work.
- Acting as a gatekeeper and scrutinizing all requests to ensure time efficiency.
- Arranging travel and hotel accommodations as necessary.
- Screening meeting requests and employee inquiries, ascertaining who can be redirected to the appropriate direct reports or partners
- Bringing urgent issues for action to the Executive's attention.
- Providing information with discretion and confidentiality as needed, requiring detailed knowledge of the Executive's span of control, the business unit, and general knowledge of company policies, practices, and operations.
- Preparing documents including developing presentations and correspondence while practicing adherence to Brand Compliance
- Partnering with other Executive Admins and the Chief of Staff team, and setting a plan with other members of the administrative staff to ensure constant coverage.
- Developing processes for maintaining team records while safeguarding confidential information.
- Organizing and coordinating the team's operations and managing the provisioning of supplies, equipment, and services that enable the staff to perform their jobs effectively.
- Establishing relationships and a strong network with internal executive administrative teams, chief of staff team, as well as external administrative teams of our partners.
- Acting as representative and ambassador to external constituents as needed.
- Performing ad hoc project-related duties as requested.
- Providing onsite support for company events and meetings.
- Protecting confidential information and upholding the highest level of discretion at all times.
What we're looking for...
You'll need to have:
- Bachelor's degree or one or more years of work experience.
- Three or more years of administrative experience.
- Experience successfully supporting a senior executive.
- Ability to work well independently and under pressure.
Even better if you have one or more of the following:
- Solid proficiency with Webex, Google Suite, Microsoft Office, and Slack.
- Strong culture building across teams to keep employees informed and engaged through coordination and moderation of various governance activities.
- Demonstrated strong verbal and written communications.
- Ability to collaborate with internal and external partners.
- Project management experience.
- Experience juggling multiple high-priority projects with the ability to stay organized and meet deadlines.
