Job Summary

Manages events related to the service line including but not limited to collaboration with Foundation, Susan G. Koman, the American Cancer Society or other related service line affiliations. Anticipates project needs, discerns work priorities, and meets deadlines with little supervision, and be willing to work occasional evenings and weekends. Responsibilities encompass all aspects of special event management including providing outstanding customer service as an enthusiastic professional who is passionate about the service line and builds relationships with internal and external customers.

Essential Functions
  • Assists with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate decor (florals, linens, color schemes, etc.)

  • Conducts research, makes site visits, and finds resources to help staff make decisions about event possibilities. Creates and revises room layouts for each event. Serves as liaison with vendors on event-related matters. Assists with managing on-site production and clean up for events as necessary. Prepares nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc. Closes out all events as required.

  • Assists with preparing budgets and provides periodic progress reports to staff directors for each event project. Keeps track of event finances including check requests, invoicing, and reporting. Coordinates appointments and visits to see our space, and scheduling of events on the calendar. Prepares and modifies event contracts as requested.

  • Maintains and communicates overall calendar of events.

Qualifications

Required

  • Bachelor's Degree or equivalent Communications, Marketing or Hospitality Mgmt or related field.

  • Minimum of 2 years of relevant experience with office administrative management or in a work environment with transferable skills.

  • Minimum of 2 years of relevant experience coordinating special events / event planning.
