  • Possess knowledge of UGA policies, procedures, and systems, such as OneSource, FAME, Qualtrics, GAIL, Elements, eLC, and Zoom.
  • Knowledge of UGA policies and procedures pertaining to students.
  • Experience with student event management or programming.

Position Summary
The Administrative Manager is a highly responsible administrative position involving the overall oversight and management of the Office of Student Affairs' day-to-day operations, initiatives, and projects. The position involves complex and general duties and the ability to work in concert with both the Assistant Dean for Student Affairs and Extended Campus Coordinators to oversee all operations of student affairs on the Athens and extended campuses in Albany, Augusta and Savannah. The individual provides administrative and project support to the Assistant Dean for Student Affairs and also plans, implements, and assesses all student life cycle events hosted by the Office of Student Affairs on the Athens campus.

The individual handles varied administrative and student support functions; therefore, this position requires considerable independence, self-motivation, attention to detail, tact, diplomacy and discretion. Due to the complex functions of the Office of Student Affairs, it is essential for the individual in the role to have exceptional project coordination and managerial skills and experience. The incumbent reports to the Assistant Dean for Student Affairs.

Office of Student Affairs' Administration and Management

  • Provide oversight and management of the Office of Student Affairs' day-to-day operations, initiatives, and projects.
  • Assist with the preparation of surveys, data, proposals, reports, slides, spreadsheets, and other documents as requested.
  • Identify, develop, and modify administrative procedures for the efficient operation of the Office of Student Affairs, including receiving, sorting, screening, and triaging telephone calls, responding to routine correspondence, directing inquiries to alternate responders, and preparing draft responses.
  • Train and supervise assigned professional staff and student workers.
  • Serve as the liaison for HR management for the Office of Student Affairs, including working with the College's HR Manager to secure approvals for position requests and hiring proposals.
  • Support the Business Manager with the monitoring and reporting of the Office of Student Affairs' budget.
  • Develop budgets and manage year-end special projects.
  • Manage student ambassador programs.
  • Serve on committees or working groups as assigned.

Duties/Responsibilities
Student Event Management

  • Plan, implement, and assess all student life cycle events hosted by the Office of Student Affairs on the Athens campus. Events may include, but not limited to, the following: White Coat Ceremony, Pinning Ceremony, Graduating Student Awards Recognition Dinner, Commencement Ceremony, Undergraduate Convocation, Graduate Student Graduation Reception and Orientations/Re-orientations.

    • Duties include scheduling, planning and other tasks related to developing budgets, production schedules, soliciting quotes, securing catering, securing approvals, preparing check requests, coordinating logistics, collaborating with the Office of Student Affairs' staff and other units to support student events.



  • In collaboration with other Student Affairs' members, provide administrative support for PharmD admission interviews, student organization events, and student mentoring programs.
  • Collaborate with Extended Campus Professional Staff on student events for all campuses.

Administrative Support

  • Provide general office support on the Athens campus, including reception services, such as greeting visitors, accepting deliveries and distributing mail.
  • Maintain the Office of Student Affairs' supply rooms, mailrooms, and promotional item storage areas.
  • Monitor the Kroger Learning Center and student study spaces.
  • Schedule the Office of Student Affairs' Conference Room.
  • Order supplies for the Athens campus.
  • Provide administrative and project support to the Assistant Dean for Student Affairs. Duties include, but are not limited to managing travel arrangements, such as preparing travel authorities and expense statements, and coordinating meetings including, scheduling meetings, securing space and technology needs, and preparing meeting materials, agendas, and minutes.
