Summary:

The Manager of Spiritual Care Services manages the overall functions and personnel within the Spiritual Care department and among assigned programs, and initiates and/or maintains positive working relationships with all peers.

Job Duties & Responsibilities:

Coordinate the activities of the Spiritual Care staff at all assigned campuses and programs

  • Manage delivery of spiritual care services including groups, 1:1 spiritual care sessions, community clergy visits, chapels with resource libraries, offsite church attendance, and onsite holiday services.
  • Maintain a patient caseload by facilitating groups and 1:1 sessions.
  • Prepare quarterly and yearly budgets, write annual reports, write grants as requested by the Foundation, and complete any other departmental documentation.
  • Represent the Spiritual Care department at Hospital and Foundation events and/or delegate to chaplains.
  • Review and audit staff medical record documentation, assuring compliance with state and federal regulatory agencies.
  • Provide for real-time supervision and mentoring of effective group, individual, and/or family sessions using solution-focused principles and Rogers subscribed interventions.
  • Participate in department staffings when able to provide quality delivery of spiritual care services and assist with interventions on the treatment plan.
  • Be available off hours as requested for urgent issues where Spiritual Care services are needed.

Manage department staff and function

  • Establish goals for direct reports that are consistent with the goals and mission of the hospital.
  • Communicate goals to staff.
  • Develop methods of measuring goal achievement.
  • Develop and maintain department policies and procedures with the input of the vice-president of Patient Care and staff.
  • Include requirements and guidelines from external agencies, i.e. Joint Commission, Centers for Medicaid and Medicare Services (CMS) and State of Wisconsin.
  • Educate external staff members about regulations or requirements of those functions that relate to their areas or departments.
  • Incorporate acceptance and training of student interns in the department.

Effectively hire and train employees according to accurate and current job descriptions

  • Develop and maintain job descriptions.
  • Implement the department training program that incorporate job descriptions with policies and procedures and quality development of all clinical staff in group, family and individual treatment interventions.
  • Incorporate job description criteria in the employee performance evaluation tool.
  • Provide for ongoing staff education regarding organizational changes, provider resource development, and clinical expectations through monthly department meetings with the department director.

Demonstrate understanding of Joint Commission and other regulatory agency compliance regulations

  • Involve self in the learning and application of standards relevant to Spiritual Care.
  • Participate in in-services, seminars and other meetings to increase involvement and awareness of regulations.
  • Involve self in the education of other disciplines regarding Spiritual Care services.
  • Participate in direct customer service in supporting patient's rights and grievance processes.

Plan for department needs effectively through involvement in the Hospital's budgeting process

  • Organize department needs to be included in the annual budget.
  • Adhere and manage direct reports to adhere to budgeting restraints.
  • Manage FTE expenditures with compliance to the FTE budget and census.
  • Manage capital and other operational expenditures with compliance to the related budget.
  • Maintain an understanding of any variance and its impact on the department budget.
  • Communicate and provide budget documentation to the vice-president of Patient Care/CNO and to the executive vice-president of the Foundation.

Participate in hospital committees, meetings, and team projects, as requested

  • Demonstrate punctuality and preparedness.
  • Demonstrate effective chairperson skills.
  • Exhibit good organizational skills with agenda and minute preparation.
  • Be able to facilitate a meeting to keep it on track.
  • Contribute in a positive, solution-focused manner.

Manage personnel

  • Promote a team environment by example and by participating in workload completion, when necessary.
  • Interact with employees in a sensitive, positive manner.
  • Understand and use the Human Resource policies and procedures manual.
  • Involve the vice-president of Human Capital, or designee, in any potentially volatile employee-related situation and initiate disciplinary process, as needed.
  • Communicate with employees promptly when incidents arise that may be a detriment to their performance or to the Hospital in general.
  • Assist employees in professional growth.
  • Develop a working schedule that provides consistency in coverage and potential for future recruitment.
  • Develop performance standards by which employees can be measured.
  • Develop measurements for competence within each area of responsibility.
  • Establish monthly department meetings to provide timely communication and problem resolution.
  • Perform employee evaluations in a timely manner.

Assist in the recruitment process

  • Complete the necessary recruitment and hiring documents in a timely and accurate manner.
  • Assist the Human Resource department in the development of an effective advertisement.
  • Conduct interviews that are comprehensive, fair, and lead to a timely recruitment decision.
  • Develop screening criteria for analysis of applicant's qualifications, professional aptitude, and overall quality contribution to the Hospital.

Participate in the performance improvement program

  • Gain understanding of the performance improvement process.
  • Apply the performance improvement model to your department's activities.
  • Participate and/or create performance improvement teams that lead to improvement in other hospital areas.
  • Educate and involve employees to the Hospital's, Social Services', and campus Partial Hospital department's performance improvement monitoring and activities.

Provide for computerization

  • Assist the Spiritual Care staff with electronic health record adoption and appropriate documentation including updating the treatment plan.
  • Gain proficiency with electronic health record documentation and development of ongoing software revisions through the clinical advisory team.

Conduct self in a professional manner

  • Demonstrate organizational skills that promote timely response to all inquiries and to project completion.
  • Communicate with all individuals in a positive and professional manner.
  • Attempt to resolve individual issues with peers in a positive, calm manner, with a focus on solution.
  • Communicate concerns and provide solutions for same.
  • Attend outside seminars to promote professional growth.
  • Interact with external professional peers to create a professional network.
  • Comply with the Hospital's policies and procedures, and the Infection Control, and Employee Health programs.
  • Project a professional image by wearing appropriate, professional attire.

Promote spiritual sensitivity and respect

  • Establish, deepen, and provide appropriate therapeutic closure to pastoral relationships with sensitivity.
  • Provide effective pastoral support that contributes to the well-being of patients, their families, visitors and staff, as appropriate.
  • Provide spiritual care that respects and honors diversity including, but not limited to, culture, gender, sexual orientation, and spiritual and religious practices.
  • Educate new staff or existing staff which requests information on specific spiritual beliefs and faiths in order to promote spiritual respect.

Physical/Mental Demands:

  • Position will involve exposure to aggressive/combative patients.
  • Verbal and hearing ability required to interact with patients and employees. Numerical ability required to maintain records and operate a computer.
  • Ability to plan, control and direct all aspects of employee relations. Tact required to interact effectively with employees and professional staff. Logical thinking and discretion required to make decisions in initiating and implementing policies and procedures and standards.
  • Must be able to read and communicate through written, verbal and auditory skills and abilities.
  • Be physically/mentally able to perform job duties as verified by a physical exam by a licensed physician, per post-employment physical.
  • Work in a pluralistic environment, respecting the diversity of religious institutions, organizations and beliefs represented by our patient population.

Education/Training Requirements:

  • Master's degree in counseling, pastoral counseling, or equivalent preferred, or master level theological training from an accredited theological seminary, or working towards a master degree.
  • Minimum of two (2) years' ministry experience or clinical training in a clinical/behavioral health setting preferred, or two (2) years' experience in chaplaincy, ministry, or lay ministry, in a church or community organization.
  • Complete all mandatory competencies on an annual basis, including the Non-Violent Crisis Intervention (NCI) training.
  • Computer proficiency and working knowledge of software programs, including Windows packages and Cerner electronic health record preferred.
  • Valid Wisconsin driver's license. Must be granted insurable status by the Rogers Memorial Hospital insurance policy.
