Description

Do you have a knack for numbers and data? The City of West Allis is seeking a full-time, dedicated, and experienced Payroll Specialist to join the Finance Department. The person in this position will report to the Finance Director/Comptroller and will play a crucial role in maintaining accurate records and providing timely payroll service. Duties include processing payroll for over 500 City employees, remitting and balancing payroll taxes and deductions, setting up new employees in accounting and timekeeping systems, reconciling monthly reports, and more.

The ideal candidate will use critical thinking skills while reviewing payroll to assess and adjust as needed, will be organized and self-motivated with deadlines, and will be good with numbers. Two years of payroll experience is preferred, and proficiency in Excel is required.

Examples of Duties

  • Process payroll, which includes transferring data from the timekeeping system and manually entering pay adjustments provided by the Fire Department, Police Department, and Human Resources. Reconcile payroll data to change logs to verify accuracy. Process checks and bank transfers.
  • Remit payroll taxes and deductions. Balance payroll taxes and deductions, create related vouchers, and file appropriately. Includes balancing WRS earnings.
  • Complete set up of new employees in accounting and timekeeping systems. Review and process Personnel Action Forms (PAFs). Maintain change logs for reconciliation. Review emails sent to the Payroll email and coordinate responses with Senior Accountant
  • Process retiree insurance billing monthly. Includes collection of past due amounts, NSF checks, and refunds of overpayments. Requires maintenance of the Retiree Insurance file. Send letters as needed, including the annual premium letters. Includes processing paperwork for retirees in the state PSO
  • Reconcile monthly WRS reports and file employee earnings and hours online. Report changes for new employees, terminated employees, and retirees to WRS. Run annual WRS report, balance year-end earnings with WRS for all employees and retirees, and file report with the Wisconsin Retirement System.
  • Year-end payroll processing. Balance, run, and report W-2s. Balance employee accruals, and set up payroll codes and rates for the new year, including tax tables and limits.
  • Run special payrolls, calculate adjusted rates for employees, and process back pay.

Qualifications

High School Education (or Equivalent)
Associate's Degree preferred
