Data Entry Clerk

Job Purpose:

The Data Entry Clerk will provide legal administrative and data entry support for our client, ensuring accurate record-keeping, case management, and document processing. This position plays a critical role in maintaining organized databases, assisting office personnel, and facilitating smooth workflow operations.

Responsibilities:


  • Perform a variety of administrative and data entry functions.
  • Provide support to office personnel by managing records, processing documents, and maintaining organized files.
  • Enter information into various division databases with accuracy and efficiency.
  • Open and manage case files while generating form letters and court documents as required.
  • Process and post payments, ensuring proper record-keeping.
  • Sort, arrange, and file various documents in accordance with organizational policies.
  • Review information from the federal district court's electronic case filing database, civil/criminal files, or other reference materials.
  • Generate legal notices of case events and distribute accordingly.
  • Produce written documents and materials utilizing a variety of office software applications.
  • Respond to inquiries via phone, email, letter, and fax, assessing issues and providing appropriate information or referrals.
  • Coordinate and prepare travel itineraries for office staff and case witnesses.
  • Perform record-keeping, reporting, and information handling for assigned office divisions.
  • Make messenger trips to other office floors and the courthouse as needed.
  • Sort incoming mail and prepare outgoing mail/packages for shipment.
  • Serve as a relief receptionist on an as-needed basis.


Education and Experience:

  • High school diploma or equivalent required; associate's degree preferred
  • Experience in administrative support, data entry, or clerical roles preferred.
  • Proficiency with office equipment such as personal computers, scanners, copy machines, and fax machines.
  • Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with electronic case filing databases and legal software such as VNS, CDCS, Caseview, UFMS, and E2 Travel is a plus.
  • Ability to work effectively as a team member, facilitating work processes among staff members.
  • Strong attention to detail, organizational skills, and the ability to apply judgment in daily tasks and interactions.
