Hybrid - 1-2 days/week in our Roseville office

Join Our Dynamic Scheduling Team

We are looking for a Scheduling Assistant to join our growing Residential Department. This role will report to the Scheduling Team Supervisor. The scheduling team is responsible for providing administrative support within the Residential Department of the Center for Energy and Environment. This includes scheduling visits, attending meetings, coordinating homeowner communications, and entering customer information into software systems. This position is customer-facing and works in a fast-paced environment. The Scheduling Assistant will work with all levels within the organization to facilitate scheduling and general communications with program participants. Scheduling Assistants work with Home Energy Squad field and office staff to ensure robust customer experiences. As part of the Residential Team, this position may also assist with overflow work assigned from residential programs within CEE.

This is a regular, full-time position that does not have any direct reports. Primary working hours can be performed in-office or remotely after training is completed.

What You'll Do



  • Complete accurate and timely scheduling of Home Energy Squad visits
  • Perform customer communications by phone, email, and text in a pleasant and professional manner
  • Perform accurate data entry and client information uploads with special attention to information security
  • Prepare and edit reports
  • Provide support for residential staff
  • Dispatch schedule changes to field crews
  • Perform administrative tasks across the Residential Department
  • Understand and adhere to corporate policies and procedures
  • Attend trainings as requested
  • Read corporate wide emails and correspondence
  • Other duties as assigned or apparent


Skills & Knowledge We're Looking For



  • At least one year of customer service experience is required
  • Ability to remain calm, patient, and understanding during challenging interactions
  • Computer skills and high comfort level with modern office technology
  • Ability to learn and operate comfortably within complex technology platforms
  • High quality communication skills in person and via email, phone, and text
  • Strong time management and organizational skills, with the ability to meet deadlines and work in team settings with frequent interruptions
  • Genuine interest in residential energy efficiency and a willingness to expand your knowledge base on the subject
  • Proficient in use of office equipment such as computers, phones, photocopiers, filing cabinets and fax machines


Preferred Qualifications



  • Fluent in Hmong, Somali, or Spanish
  • Experience with Salesforce, scheduling software, other databases or CRMs is preferred


Compensation

Dependent on qualifications and experience, we expect the pay range upon hire for this position will be $20.50-21.50 per hour.
