Job Description

The Student Union, an auxiliary service department within the Division of Student Affairs, is seeking a dynamic, detail-oriented professional to lead Conference Services in the role of Event Manager. Serving as the principal customer service representative of the department, the Event Manager role manages the event and conference activity within the Student Union facility, auxiliary portions of the Atterbury Student Success Center, and designated outdoor spaces throughout campus. Hosting over 5000 event and conference activities annually, the Student Union desires an individual to lead the reservation process, engage with clients to develop pre-event logistics, distribute timely and accurate operational information internally, and successfully collaborate with operations teams in the execution, business reconciliation, and evaluation of event and conference activity. The Event Manager serves as the primary liaison for the campus in the cultivation, accommodation, and successful production of the campus Summer Conference and Housing Program.

Duties and Responsibilities

  • Hospitality and Customer Service Agent: Serves as the primary point of contact for customer service provision and hospitality accommodations for the department and the areas represented by the department.
  • Facility Coordination: Acts as a liaison between clients and University departments for facility bookings and arrangements. Communicates with all levels of University staff and external groups, interpreting and explaining facility policies. Addresses special service requests or policy deviations and represents the department at meetings with customers, both internal to the campus and external to the campus.
  • Event Facilitation: Works collaboratively with the operations team in coordinating facility and support needs for events. Monitors the receipt of reservation requests, contract agreements, insurance forms, and additionally required documents. Coordinates vendor services, requests quotes from other departments, and estimates event costs.
  • Revenue Monitoring and Billing: Prepares and issues event billing. Monitors accounts receivable and payable. Ensures that billing and collection aligns with budget reports. Reconcile charges and receipts with departments for provided service and assists in maintaining billing records.
  • Quality Assurance and Event Management: Schedule and oversee one full-time business support specialist and one student staff member. Troubleshoot and resolve issues during the event planning process and during events.
  • Summer Conference and Housing Support: Acts as a liaison between clients and University departments for facility bookings and arrangements. Works collaboratively with Residential Life and internal departments in coordinating facility and program support needs. Assists the business manager in billing, collection, and reconciliation.
  • Summer Conference Responsibilities:
  • Performs other related duties as assigned.
Shift

This position would be scheduled 8:00 a.m. - 5:00 p.m. Monday through Friday, with flexible hours available at selected times to match event schedules.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • At least 1 year of experience working in a supervisory role.
  • Experience in event management, building management, personnel management, student personnel administration, business administration or related area or an equivalent combination of educations and training from which comparable knowledge and abilities can be acquired as necessary.
  • Effective Interpersonal communication abilities.
  • Logistical analysis and problem-solving capabilities.
  • Organization and leadership skills.
  • Commitment to customer care and service experience.
  • Attention to detail and planning.
Anticipated Hiring Range

Up to $60,000 annually, commensurate with experience, education, and internal equity.
