What You Will Do:
Gannett Fleming TranSystems is seeking a Administrative Assistant to join our Construction Services team in Owings Mills! This role follows a hybrid work model, requiring regular attendance at our Owings Mills office.

What you'll be challenged to do:

In this capacity, the successful candidate will be responsible for the following:
Provide general office and administrative support to the office administrator, and other staff within the office; Or general administrative support to the area or business unit; and other CBG staff within the business line.
Principal Responsibilities and essential functions
  • Office Support - Provides support to the Office Administrator, Office Principal, management and the office staff:
  • Carry out receptionist duties, if applicable,
  • Assist with preparing communication information to the employees in the office,
  • Review and process office vendor invoices and tracking of accounts payable,
  • Support with timesheet and expense account entries,
  • Assist with building property management work order requests (i.e. A/C, maintenance, etc.),
  • Process conference, seminar, and training registrations,
  • Administer employee certification maintenance,
  • Assist with document formatting, review and transmittals,
  • Assist and/or perform duties as office safety coordinator (Update emergency/evacuation plans, organize safety trainings, equipment ordering, etc.),
  • Assist with office sustainability programs and monitoring of office lease terms and commitments
  • Schedule fleet vehicle maintenance and keep registrations active
  • CBG Support - Provides support to the Office Administrator, Office Principal, management, and the business unit staff:
  • Provides basic support to the business unit/business line administrator, area managers, and business unit staff with guidance from supervisor.
  • Assist with preparing communication information to the employees in the area
  • Review and process vendor invoices and tracking of accounts payable
  • Assist with company vehicle maintenance and registrations
  • Support with company vehicle mileage log entries
  • Assist with timesheet and expense account entries
  • Process conference, seminar and training registrations
  • Administer employee certification maintenance and annual resume update support
  • Assist with document formatting, review and transmittal
  • Assist with Travel and meeting arrangements
Education | Experience:
What you will bring to our firm:
  • High School Diploma required (or equivalent education and 2 years of experience in a related field)
  • Associate's Degree preferred
What we prefer you bring:
  • Good customer service skills,
  • Good Written and verbal communication skills,
  • Ability to multitasking and prioritizing,
  • Good organizational skills,
  • Working knowledge of Microsoft Office Suite/O365 applications
  • Experience with integrated IOS phone systems
  • Minimum of 2 years of relevant experience
Compensation:
The range for this position is salary range is $47,000 - $65,000. Salary is dependent upon experience and geographic location.
