Performs duties requiring advanced level secretarial and administrative support skills to assist the head of a division or corporate function. Assists executives by relieving them of details and administrative duties. Work is of a confidential nature requiring a broad understanding of UMMHC policies and practices; requires expediting critical matters and effectively interfacing with all levels. May coordinate the work of secretarial and clerical staff.

You'll provide direct support to the Chief and Ambulatory Physician Leader, ensuring seamless operations and communication. Your contributions will help drive excellence in patient care, research, and division administration. You'll also collaborate closely with a team of administrative professionals to keep everything running smoothly.

About the Division:

Hematology Oncology

Our division provides cutting-edge care for Cancer, Classical Hematology, and Malignant Hematology patients across multiple sites in Central Massachusetts, including:

  • UMass Memorial Medical Center (University & Memorial Campuses)
  • HealthAlliance Simonds-Sinon Regional Cancer Center (Fitchburg)
  • The Cancer Center at Marlboro Hospital
  • The Harrington Cancer Center (Southbridge, MA)

As a Dana-Farber Collaborative partner, we offer the latest therapies, conduct groundbreaking clinical trials, and provide specialized treatments like CAR-T and regenerative medicine.

Transfusion Medicine

Unlike many academic medical centers, Transfusion Medicine at UMass is integrated within Hematology Oncology & Bone Marrow Transplantation (BMT) rather than Pathology. This unique structure allows us to:

  • Support growth in Blood Banking and Therapeutic Apheresis
  • Advance cellular therapeutics through our Hematopoietic Progenitor Stem Cell & Cryopreservation lab.

What You'll Do:

  • Manage Executive Scheduling - Oversee the Chief's calendar, meetings, expenses, and travel.
  • Provide Administrative Leadership - Support and guide the admin team to ensure high-quality service and efficiency.
  • Coordinate & Communicate - Organize meetings, facilitate departmental initiatives, and serve as a key resource for leadership and staff.
  • Enhance Operations - Assist with division administration, including expenses, vendor management, and process improvements.
  • Multitask with Excellence - Oversee office equipment, manage reports, and contribute to growth initiatives.

What We're Looking For:

  • Education: Associate's degree required.
  • Experience: Minimum 5 years in medical secretarial or administrative support roles.
  • Leadership Skills: Ability to guide teams and improve workflows.
  • Technical Skills: Strong proficiency in Microsoft Office and administrative systems.
  • Medical Knowledge: Familiarity with medical terminology and healthcare procedures.
  • Bonus Points: Project management experience.
